We are seeking a detail-oriented and proactive
Billing and Collections Specialist
to join our client’s team. In this role, you will be responsible for managing and collecting outstanding accounts receivable balances, communicating with clients to resolve past‑due accounts, and ensuring timely payments.
Key Responsibilities
Monitor aging reports and proactively contact customers with overdue accounts
Communicate via phone, email, and written correspondence to collect outstanding balances
Negotiate payment plans and resolve billing issues in a courteous and professional manner
Maintain accurate records of all collection activity in internal systems
Collaborate with internal departments (e.g., Sales, Customer Service, Finance) to address disputes
Process payments, adjustments, and write‑offs as necessary
Recommend accounts for escalation, legal action, or third‑party collection if needed
Ensure compliance with all federal, state, and local laws related to collections
Qualifications
High school diploma or equivalent (Associate’s or Bachelor’s degree in Accounting, Finance, or Business preferred)
3+ years of experience in collections, accounts receivable, or a related field
Familiarity with accounting software (e.g., QuickBooks, SAP, NetSuite, or similar)
Excellent communication, negotiation, and customer service skills
Strong attention to detail and organizational abilities
Ability to work independently and meet deadlines in a fast‑paced environment
Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. As required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company’s 401(k) retirement plan.
