Scope of Job To coordinate and provide support to the athletic development team for development functions. Executes fundraising, donor engagement, and stewardship initiatives. Coordinates day‑to‑day activities that strengthen relationships with alumni and donors, while assisting in achieving annual fundraising goals for UTRGV Athletics.
Description of Duties
Works closely with all revenue‑generating areas, including ticketing and corporate sponsorships, to ensure effective coordination and communication with external constituents.
Assists with planning and execution of annual fund campaigns, including donor communication, solicitation mailings, and benefit fulfillment in collaboration with the Division of Institutional Advancement.
Coordinates donor stewardship efforts, including thank‑you letters, benefit tracking, and recognition materials.
Actively participates with the organization and execution of special events such as donor receptions, game‑day hospitality, and recognition programs.
Maintains and updates donor and prospect records within the Athletics’ development database in collaboration with Advancement Data Services and/or Gift Services.
Supports in the creation of donor reports, contact lists, and campaign analytics to inform fundraising strategies.
Coordinates and communicates with university’s development and alumni relations efforts on campus and other applicable constituency groups.
Assists in processing gifts, pledges, and documentation related to donor contributions.
Serves as a resource for athletics donor inquiries, ensuring a professional and timely response.
Coordinates and manages the inventory and distribution of donor recognition items and premium seating materials.
Attends meetings, conferences, and seminars related to the program’s mission and goals.
Develops, cultivates, and maintains working relationships with internal/external departments/agencies and other organizations.
Performs other duties as assigned.
Supervision Received General supervision from assigned supervisor.
Supervision Given Direct supervision of assigned staff.
Required Education Bachelor’s degree from an accredited university.
Preferred Education N/A
Licenses/Certifications None.
Required Experience Two (2) years of experience performing closely related duties such as coordination of fundraising and reporting functions, program and event coordination.
Preferred Experience Experience working in intercollegiate athletics or higher education development area. Knowledge of donor databases, fundraising systems, or CRM platforms (e.g., Raiser’s Edge).
Equipment Use of standard office equipment.
Working Conditions Needs to be able to successfully perform all required duties. Work is performed primarily in a general office environment. Some travel and weekend work is required. Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. UTRGV is a distributed institution, which may require presence at multiple locations throughout the Rio Grande Valley.
Other Exceptional planning and organizational skills, attention to detail, and ability to manage multiple priorities. Strong customer service skills. Ability to interact with multiple audiences to perform outreach functions.
