Job Summary
We are a leading CPA firm in the San Fernando Valley seeking an experienced, sharp, fast‑thinking, and efficient Executive Assistant to support our Company President and Managing Partner.
Responsibilities
Manage the executives’ day‑to‑day calendars, including scheduling, prioritizing sensitive matters, and coordinating meetings.
Organize meetings by scheduling, sending reminders, preparing materials, and arranging catering when needed.
Handle heavy email and phone communication, including drafting and editing emails, taking messages, and responding on behalf of the executives when appropriate.
Prepare memos, letters, reports, and other communications.
Welcome visitors and determine the purpose of their visit before directing them appropriately.
Maintain accurate corporate records, documents, and reports.
Create engagement letters and assist with onboarding new clients.
Perform minor accounting and bookkeeping tasks.
Coordinate domestic and international travel and prepare detailed itineraries.
Assist executives with occasional personal tasks when necessary.
Use various software, including word processing, spreadsheets, and presentation tools to prepare reports and special projects.
Assist with additional administrative tasks as needed to support executives and the firm.
Qualifications
2 to 3 years of executive assistant experience.
Bachelor’s degree or equivalent experience.
Excellent verbal and written communication skills.
Strong interpersonal skills and ability to work well with executives, staff, and clients.
Exceptional attention to detail and high accuracy in all tasks.
Strong organizational skills and ability to multitask.
Effective time‑management skills and ability to meet deadlines.
Ability to work effectively with minimal supervision.
Problem‑solving and decision‑making abilities.
Ability to act as a gatekeeper and escalate information when needed.
Ability to handle confidential information with proper discretion.
Proficiency in Microsoft Office Suite.
Skilled in the use of standard office equipment such as copiers, phone systems, and projectors.
