Position Overview We are seeking a highly organized, proactive, and dependable Executive Assistant to provide direct administrative support to executive leadership. This is a full-time, in-office role based in Cleveland, OH. The ideal candidate is detail-oriented, professional, and comfortable managing multiple priorities while supporting both office-based and out-of-office executive needs.
This is a high-visibility role working closely with executive leadership and supporting day-to-day business operations in a fast-paced, professional environment.
Core Skill Sets & Key Responsibilities 1. Executive Calendar & Meeting Management
Manage and maintain executive calendars, including scheduling internal and external meetings
Coordinate meeting logistics such as agendas, materials, room setup, and follow-ups
Proactively identify and resolve scheduling conflicts while ensuring priorities are met
Manage contract signature workflows, including tracking, coordinating signatures, and ensuring contracts are executed in a timely manner
2. Travel Coordination & Scheduling
Arrange all aspects of domestic travel, including flights, hotels, rental cars, and ground transportation
Prepare detailed itineraries and manage changes or last-minute adjustments
Ensure travel plans are efficient, organized, and aligned with executive preferences
3. Office & Out-of-Office Administrative Support
Support in-office and off-site needs such as coordinating lunch meetings, ordering or picking up food, and managing supplies
Handle errands including FedEx/UPS shipments, package drop-offs, and document deliveries
Assist with day-to-day office operations to ensure a smooth and professional work environment
Additional Responsibilities
Serve as a primary point of contact for internal and external communications
Handle emails, phone calls, and correspondence with professionalism and discretion
Assist with document preparation, filing, record keeping, and light project coordination
Track deadlines and ensure timely follow-up on action items
Anticipate executive needs and proactively address issues
Qualifications
Previous experience as an Executive Assistant or Administrative Assistant preferred
Strong organizational, time-management, and problem-solving skills
Excellent written and verbal communication abilities
Proficiency with Microsoft Office and/or Google Workspace
Ability to handle confidential information with discretion
Professional demeanor with strong attention to detail
Ability to work independently, anticipate needs, and adapt to changing priorities
Work Environment
In-office position located in Cleveland, OH
Full-time, Monday through Friday, 9:00 AM–5:00 PM
