The Estimating Assistant provides administrative support for the SBU’s Estimating team and, as needed, supports project management teams. Responsibilities include carrying out processes, procedures, and document control associated with job bids, projects, plans, and specifications; suggesting and implementing process improvements; preparing professional and accurate project-related documents; and establishing and maintaining associated files.
Duties
Champions “The Layton Way” by delivering predictable outcomes for internal teams, external teams, and customers.
Ensures that “Constructing with Integrity” is delivered by working with honesty, unity, safety, and quality of work.
Collaborates with other business unit estimating assistants to discuss best practices, regional projects, and general coordination of preconstruction activities.
Prepares and maintains project folders; creates job information, scope, and bid day files.
Prepares invitations to bid, including general project descriptions, required trade packages, and subcontractor solicitations.
Determines source for plans per project and notifies estimators when updates are received.
Prioritizes plans and executes workload related to proposal preparation.
Prepares bid documents (bid form, bid bond, proposal package) and obtains appropriate signatures.
Coordinates and maintains subcontractor bid lists per project and works with project estimators to ensure appropriate bid coverage per project scope, including contacting subcontractors via phone and email for pricing, bids, and follow‑up clarifications.
Maintains subcontractor contact list on Building Connected and identifies areas needing additional subcontractor resources.
Maintains master subcontract lists and updates them regularly.
Coordinates workload and tasks with the Preconstruction Director and other Estimators.
Organizes and maintains online plan rooms.
Maintains bid calendar, Building Connected website, and corporate bid recap book.
Assists subcontractors in accessing the Building Connected website for plans.
Assists subcontractors in accessing Layton’s pre‑qualification site and encourages them to update pre‑qualification information as needed.
Complies with all safety policies, practices, and procedures; reports unsafe activities to supervisor or Safety.
Accepts accountability for both individual and team performance.
Performs other related duties as assigned.
Qualifications
Minimum of one year post‑high school education or three to six months of related experience, or an equivalent combination of education and experience.
Ability to read and comprehend simple instructions, correspondence, and memos; can compose simple correspondence.
Excellent spelling, grammar, and proofreading skills.
Effective presentation or sharing of information in one‑on‑one or small group situations, in person or over the telephone.
Highly proficient in personal computer skills: electronic mail, record keeping, routine database activity, Word processing, spreadsheets, and graphics.
Mathematical competence: add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; compute rates, ratios, and percentages.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Two years of previous secretarial or administrative experience.
Preferred: Experience in the construction industry with the ability to read blueprints.
