The Project Coordinator supports successful project execution by managing contracts, schedules, budgets, documentation, and stakeholder communication. Acting as a bridge between project management and cross‑functional teams, the coordinator ensures operational and logistical efficiency while maintaining clear communication with sub‑consultants, clients, and internal teams across multiple disciplines.
Duties
Establish and maintain project setup, including files, templates, tracking tools, and systems (e.g., Smartsheet, Deltek, EWA), ensuring operational efficiency and compliance with company SOPs.
Maintain comprehensive and accurate project documentation, including contracts, scopes of work, meeting minutes, action items, change orders, and sub‑consultant agreements.
Facilitate internal project kick‑off meetings and coordinate cross‑discipline teams to align on scope, roles, deliverables, schedules, and budget adherence.
Support pipeline tracking, grant research, application development, and post‑award coordination as needed.
Track project budgets, financial forecasts, invoices, and change orders, ensuring accurate financial reporting and alignment with contractual agreements.
Monitor project milestones, proactively identify risks or delays, and elevate issues to the Program or Project Manager as needed to ensure risk and compliance management.
Act as a point of contact for sub‑consultants, vendors, and clients; prepare meeting materials, presentations, and reports to support clear communication and client interactions.
Coordinate communication among internal teams, clients, and third‑party consultants to ensure smooth project execution and operational efficiency.
Assist with contract management and compliance, coordinating with legal and finance teams as necessary.
Track billable hours, billing milestones, and work authorizations (EWA), supporting financial tracking and reporting.
Perform other duties as assigned.
Requirements
Strong understanding of contract management, scheduling, budget tracking, and overall project coordination.
Familiarity with budget planning, invoicing, and financial forecasting in a project‑driven environment.
Skilled in MS Office (Excel, Word, Outlook), Smartsheet, Deltek VantagePoint, or similar project management tools.
Ability to coordinate effectively across clients, sub‑consultants, vendors, and internal multi‑disciplinary teams.
Proactive in identifying and resolving project risks, schedule issues, and budget concerns.
Capable of managing multiple projects, tracking deliverables, and adhering to deadlines under tight timelines.
Familiarity with codes, design, and construction practices, as well as architecture, engineering, and construction (AEC) industry standards.
Detail‑oriented, quality‑conscious, reliable, self‑motivated, and able to maintain focus on strict deadlines.
Valid state‑issued driver’s license with a clean driving record.
Education and Experience
Bachelor’s degree in Civil Engineering, Architecture, Construction Management, or a related field.
3+ years of experience in project coordination within a design or construction‑related industry.
Strong understanding of building codes, permitting processes, and land development.
