Position Summary The Manager of Programs, Performances, Events & Rentals plays a critical leadership role in the planning, coordination, and execution of performances, programs, special events, fundraisers, and venue rentals. This highly visible position oversees event logistics from concept through completion, serving as the primary on‑site manager during events and a key liaison among artists, partners, contractors, volunteers, and clients.
The ideal candidate is an experienced arts or events professional who thrives in a fast‑paced, public‑facing environment, demonstrates excellent judgment under pressure, and brings a collaborative, service‑oriented approach to their work.
Key Responsibilities Event & Program Management
Plan, coordinate, and execute all aspects of performances, programs, special events, fundraisers, and facility rentals
Create detailed timelines, run‑of‑show documents, and action plans from planning through post‑event evaluation
Ensure venues are returned to pre‑event condition and contractual obligations are fulfilled
Serve as the lead staff member during events, ensuring safety, security, and smooth operations
Own the execution of events with a strong sense of accountability
Contracts, Budgeting & Administration
Work with the Director to develop and manage event budgets
Draft, review, and negotiate management agreements and contracts
Manage third‑party catering, bar service, and vendor agreements
Maintain accurate event reports for leadership and the Finance Department
Order and manage event supplies within approved budgets
Ticketing, Scheduling & Systems
Manage the TIX ticketing platform, including reservations, ticket sales, and credit card transactions
Maintain and oversee the shared event calendar
Ensure basic cash handling and PCI compliance standards are followed
Staff, Volunteers & Collaboration
Recruit, train, schedule, and supervise volunteers and contracted event staff
Communicate effectively with internal staff to ensure alignment and event success
Ensure high standards of performance, professionalism, and customer service
Customer Service, Safety & Policies
Provide and cultivate outstanding guest experience
Complete accident/incident reports as needed
Maintain preparedness to respond to needs related to facilities, security, staffing, catering, or contractors in a timely and thorough manner
Follow and enforce The Arts Council policies, procedures, and security protocols
Supervisory Responsibilities
Contracted hourly event staff
Qualifications Education
Bachelor’s degree in a related field preferred, or equivalent professional experience
Experience
3–5 years of professional experience in event planning, performance management, or arts programming required
Exceptional organizational and project management skills.
Strong problem‑solving ability and sound decision‑making under pressure.
Excellent interpersonal and customer service skills.
Calm, professional demeanor in fast‑paced environments.
Basic understanding of event permitting, vendor management, and sales agreements
Proficiency in Microsoft Office (including Excel), Constant Contact, and design tools such as Adobe Creative Cloud, Photoshop, InDesign, and Canva
Experience with ticketing systems, cash handling, and PCI compliance
Ability to complete tasks completely and in a timely manner
Physical Requirements
Regular movement throughout the venue campus for event setup, supervision, and breakdown
Ability to lift up to 20 lbs. regularly and up to 60 lbs. with assistance
Event setup and breakdown may be physically demanding
