About the Role This is a true "many hats” role—part office guru, part HR sidekick, part IT translator, part culture champion. You'll keep the home office running smoothly while supporting people, processes, and leadership.
In this role, you will:
Run day‑to‑day office operations
Provide light HR support (onboarding/offboarding, training tracking, recruiting coordination)
Be the in‑office IT liaison
Support marketing, branding, and social media (including newsletters)
Provide executive support to the C‑suite
Plan internal events that elevate culture and employee experience

Essential Duties & Responsibilities Executive & Administrative Support
Assist CEO, COO, CFO, Directors, and managers with daily needs and special projects
Coordinate leadership calendars and meeting logistics
Prepare reports, presentations, and meeting materials
Capture/distribute meeting notes as needed
Maintain professionalism and confidentiality
Office Operations & Facilities
Manage mail, shipping, office/kitchen supplies, printers, calls, and general office upkeep
Coordinate building maintenance, tenant requirements, and conference room logistics
Organize storage areas and offsite storage transfers
Run weekly job update meetings and distribute minutes
Licensing, Contracts & Business Administration
Track/renew business and contractor licenses
Coordinate insurance documents and qualification packets
Manage bond requests, COIs, and related documentation
Marketing, Social Media & Newsletters
Own the social media content calendar (mainly LinkedIn)
Coordinate basic website updates
Produce monthly internal and quarterly external newsletters
Support Client with conferences, shipping, award submissions, and collateral
Events & Culture
Plan birthdays, milestone celebrations, holiday parties, team‑building, and all‑hands events
Manage event budgets, vendors, logistics, and day‑of execution
Maintain the annual culture calendar and propose new engagement ideas
In‑Office IT Support & Vendor Liaison
Serve as first‑stop IT support; escalate to the MSP when needed
Coordinate new‑hire setups and terminations
Track hardware and peripherals
Troubleshoot Wi‑Fi, printers, A/V, and software basics
Maintain IT quick guides and an office IT SOP binder
Onboarding, Offboarding & HR Administration
Prep workspaces, welcome materials, and systems access for new hires
Manage onboarding/offboarding checklists and documentation
Track required training and assessments
Support handbook updates and HR communications
Recruiting Coordination & Screening
Gather resumes, schedule interviews, communicate with candidates, and conduct phone screens
Assist with start‑date readiness
Maintain Drug‑Free Workplace compliance requirements
Training & Certification Tracking
Schedule training and track certifications/expirations (OSHA‑30, First Aid, Blue Card, etc.)
Maintain organized completion records
Vehicles, Property & Logistics
Manage vehicle needs (tolls, tags, insurance requests/claims)
Coordinate with property management on any vehicle or building issues
Apparel Store & Branding Support
Help manage the apparel store and vendor relationship
Maintain brand assets (logos, templates, photos) and support consistent usage
Minimum Qualifications
2–5 years of office administration + HR admin experience (construction/professional services preferred)
Experience with social media drafting, newsletters, event planning, and IT vendor coordination
Proficiency in Microsoft Office; ability to learn HRIS, carrier portals, filing systems; basic website editing is a plus
Highly organized, detail‑driven, and able to manage multiple priorities and confidentiality
Strong communication and interpersonal skills across all levels, clients, and vendors
