About The Position The Office of Research and Sponsored Projects (ORSP) works with other units throughout campus to seek external support for faculty research, scholarship, creative activity and institutional projects that support the educational and service mission of the university. ORSP staff assist with proposal development (Office of Research Development), proposal submission, contract negotiation (Office of Grants and Contracts), and post award support (Office of Sponsored Programs), and help to assure that research and sponsored programs are conducted in accordance with the highest ethical and regulatory standards (Office of Research Compliance).
We seek an exceptional individual to join our team as the Research Development Coordinator (Administrative Support Coordinator I). The ideal candidate in this role should have a positive attitude and an active, energetic mind characterized by highly ethical practices and a commitment to inclusivity, openness, flexibility, and integrity.
Responsibilities
Provide general office support and efficiently organize various support tasks.
Adhere to internal and external deadlines and adjust priorities in an energetic and dynamic environment.
Maintain office space, order supplies, track expenses, reconcile monthly procurement card statements, and manage department budget.
Support the travel process, respond to written communication, edit department website and newsletter content.
Draft meeting agendas, prepare meeting minutes, and generate monthly and ad-hoc reports.
Coordinate and assist with special programs and events (e.g., ORSP Research Week, Grant Writing Academy, Intramural Grants, Grantsmanship Trainings).
Provide support for department recruitment of staff and student employees.
Assist with oversight, training, and scheduling of department student assistant(s).
Perform other related duties as assigned.
Essential Qualifications
High School diploma or equivalent and four years of progressively responsible experience in general office, clerical or secretarial work.
Thorough knowledge of university infrastructure, policies, and procedures.
Proficient in English grammar, punctuation, and spelling.
Proficient with office systems and a range of technology, systems, and software packages.
Ability to independently handle multiple priorities and projects.
Ability to apply policies and procedures where specific guidelines may not exist.
Working knowledge of budget policies and procedures.
Ability to perform standard business math and financial data analysis.
Ability to draft and compose correspondence and standard reports.
Ability to handle interpersonal contacts including those at a higher level and sensitive situations.
A background check (including a criminal records check) must be completed satisfactorily.
Preferred Qualifications
Bachelor’s degree from an accredited four‑year college or university.
Previous experience working in a higher education setting, government agency, non‑profit organization, or academic medical center.
Ability to retain and recall information over an extended period of time.
License/Certification A valid California driver’s license.
