Events Program Coordinator, Department of Statistics and Data Sciences
Join The University of Texas at Austin as our Events Program Coordinator within the Department of Statistics and Data Sciences. This full‑time, exempt position focuses on planning, coordinating, and executing departmental events such as meetings, workshops, conferences, seminars, student recruitment, and orientation.

Responsibilities
Plan and coordinate large meetings, workshops, conferences, seminars, student recruitment and orientation events.
Prepare event forms and budgets, gather quotes from outside vendors, reserve spaces, order catering and materials, develop communications, coordinate travel, and assist participants/speakers.
Collaborate with staff to ensure compliance with UT policies, branding consistency, and effective outreach.
Create and distribute event communications across email, digital signage, newsletters, and social media; maintain marketing materials and promotional calendars.
Oversee onsite logistics during events, including setup and breakdown, vendor coordination, and support of participants.
Track budgets, gather receipts and invoices, coordinate payments and reimbursements, and identify improvements from feedback.
Develop and implement operational standards and processes, recommend policy improvements, and collaborate with department staff to deliver events.
Maintain communication with internal and external stakeholders (faculty, student organizations, alumni, employers) to ensure alignment and engagement.
Assist with financial and administrative aspects, including budgeting, contract management, and payment processing.
Prepare professional communications, schedule and participate in meetings, manage calendars, update website, process travel authorizations.
Build strong relationships with faculty and staff; perform additional duties as assigned to meet operational needs.
Required Qualifications
Bachelor’s degree and a minimum of two years of progressively responsible experience in event coordination, program management, or a related field (or equivalent combination of education and experience).
Demonstrated excellence in written and verbal communication, with the ability to tailor messaging to various audiences.
Strong strategic and creative thinking skills, with the capacity to work independently, take initiative, and collaborate effectively within a team.
Proven ability to build positive relationships with students, faculty, staff, and external partners in a higher‑education setting.
Strong organizational skills, able to manage multiple priorities, meet deadlines, and adapt in a fast‑paced environment.
Preferred Qualifications
Direct experience working in higher education and understanding of student engagement, academic culture, and community building.
Proficiency in Microsoft 365, Adobe, and Canva, and ability to design professional event materials and presentations.
Familiarity with UT Austin administrative policies, procedures, and systems.
Salary Range $50,000 + depending on qualifications.
Working Conditions
May work around standard office conditions.
Repetitive use of a keyboard at a workstation.
Lifting and moving equipment and materials as part of event set‑up and breakdown.
Occasional weekend, overtime, and evening work as part of event set‑up and breakdown.
