CEI Assistant Project Administrator/Engineer Join Mott MacDonald as a CEI Assistant Project Administrator/Engineer. In North America we focus on Buildings, Energy, Transportation, and Water, and we are looking for a qualified professional to join our Florida CEI team in Orlando or Tampa.

Applicants must meet the following experience requirements: a relevant degree with two years of engineering experience on transportation projects, or, for non-degree holders, at least eight years of CEI or construction experience—including a minimum of two years focused on transportation. All candidates must provide a current list of certifications with expiration dates.

Responsibilities

Promote effective communication with contractors, ensuring accurate information exchange, timely submittals, documentation of project activities, progress meeting minutes, and action items from pre‑construction support through final acceptance.

Write or supervise the preparation of reports and correspondence, maintaining communication with contractors, project team members, stakeholders, and the client.

Plan, schedule, coordinate, and communicate with contractors to ensure compliance with contract requirements, FDOT procedures/directives, and construction reporting processes.

Exercise independent judgment in planning work details and making technical decisions related to project office aspects.

Establish and maintain records and files in accordance with Federal and State regulations for construction projects, including funding compliance, material inspections, and QA/QC processes.

Monitor construction costs and support contract price negotiations for modifications, including estimating and tracking market price trends.

Manage and track pay estimates and invoices, including pay factor adjustments.

Prepare and process construction contract changes as Field Work Orders and Supplemental Agreements in coordination with the CEI management team.

Provide administrative support for managing project schedules and budgets to ensure timely and cost‑effective completion.

Demonstrate knowledge of FDOT procedures, including CPAM, and related construction and financial management systems such as PrC, MAC, UAM, etc.

Communicate effectively in English, both verbally and in writing.

Receive general instructions for assignments while exercising initiative and independent judgment to resolve work‑related problems.

Direct and assign specific tasks to administrative and field staff, assisting in all phases of the construction project.

Oversee progress and final estimates throughout the project duration.

Qualifications and Experience

Possess a degree in Engineering, Engineering Technology, or Construction Management; previous construction experience is preferred.

Alternatively, be a high school graduate or equivalent with at least four years of construction office management experience involving project‑related duties such as MAC system use, progress and final estimates, EEO compliance, and construction contract changes; or have two years of experience with 3D modeling and CADD.

Demonstrate proficiency in standard word processing software.

Capable of exercising independent initiative to support the supervisor in clerical detail.

Assist the Project Administrator in office‑related tasks such as quantity tracking.

Technical Experience:

Become proficient in Trimble Business Center – Heavy Construction Edition (HCE) or approved surface‑to‑surface comparison software and Engineering Menu.

Understand required surfaces from the designer.

Interpret survey data from the field.

Prepare survey data for use in relevant software.

Generate accurate earthwork quantities using the software.

Prepare and update spreadsheets, progress and final estimates, EEO compliance documentation, and process construction contract changes.

Work under the general supervision of the Senior Project Engineer and staff.

Familiarity with the Department’s procedures covering project‑related duties and proficiency in necessary computer programs.

Qualifications and Certifications:

Required qualifications or certifications may be obtained within six months from hire, provided supervision and direction are given by a Senior Project Engineer, all other role requirements are met, and a training plan is in place detailing acquisition timelines.
