Major Responsibilities

Receives and triages phone calls from internal and external admission points (ER, OR, Clinics, Short Stay). Logs all incoming requests and triages to appropriate providers during emergencies.

Updates multiple Reservation Request Lists within the bed management system. Adds patients awaiting admission to UMMMC to the reservation list.

Enters intake patient information into the bed management system and provides bed status updates. Alerts Care Connection staff when a bed is identified.

Creates reservation requests for patients as needed, including urgent admits from clinics, home, and other facilities. Monitors bed availability and alerts supervisors/nursing leaders when additional resources are required.

Prioritizes requests on the Reservation Request List according to department practice and policies, using functional knowledge of inpatient hospital units on the UMass Memorial Medical Center campuses.

Registers patients (e.g., direct transfers) by entering information into the computer‑based patient registration and bed management system. Inputs demographic and insurance information and follows up to correct discrepancies.

Books appropriate beds on both campuses for patients on the Reservation Request List, admits patients in the bed management system, and completes necessary admissions paperwork, including preparing patient bracelets and cards.

Provides relevant patient information to the admitting unit to facilitate the patient’s care upon arrival (estimated time of arrival, condition, special precautions, admission instructions).

Assists families/visitors in locating admitted patients and/or arranging hotel accommodations in accordance with hospital/departmental policy.

Reconciles the hospital census, verifying that patients are listed in the correct beds within the bed management system. Ensures PACU and ED boarders are in the correct accommodation code.

Monitors and analyzes key patient flow statistics and works to ensure system‑wide benchmarks are achieved.

Reviews patient census across both campuses and runs a variety of occupancy/census reports. Distributes relevant reports to leaders within UMMMC daily.

Updates physician fields within the bed management system as required and records changes in log, responding to physician change requests.

Reconciles OR schedule with the bed management system and elective pre‑registration list; once reconciled, adds patients to the Reservation Request List on the appropriate date.

Maintains accurate and timely records, logs, files, and related information. Updates DPH website as required by department/hospital policy.

Maintains regular, reliable, and predictable attendance.

Performs other similar and related duties as required or directed.

Position Qualifications License/Certification/Education Required: High School graduate or equivalent.

Experience/Skills Required: 3+ years of related experience. Makes use of specialized applications software and computer systems for patient registration, scheduling, and business office procedures. Knowledge of medical terminology, third‑party payer billing, and managed care requirements and procedures. Typing speed must be 35+ words per minute.

Unless certification, licensure, or registration is required, an equivalent combination of education and experience that provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.

Physical Demands and Environmental Conditions Work is considered sedentary. Position requires work indoors in a normal office environment.
