EXECUTIVE OPERATIONS SPECIALIST
Position: Executive Operations Specialist Number of Openings: 1 Institution: Cleveland State Community College Campus Location: Cleveland, Tennessee Salary: $42,809 $51,371 Position Status: Non?Exempt / Full?Time Job Summary
The Executive Operations Specialist supports the Vice President for Infrastructure, Information, and Operations by managing calendars, communications, day?to?day office operations, and capital project coordination. The role provides key administrative support to Human Resources and ensures efficient, organized, and timely workflow across the IIO division. Responsibilities Manage the Vice Presidents calendar, meeting logistics, and department budget. Prepare agendas, presentations, and reports for department meetings. Coordinate travel, procurement, and vendor relationships for the IIO division. Communicate timely with internal and external stakeholders, serving as the primary point of contact for the division. Track and coordinate capital and maintenance projects from initiation through completion, developing timelines, monitoring deliverables, and preparing status reports. Assist with Human Resources onboarding, personnel file management, recruitment support, and document notarization. Support special projects, campus events, and general administrative tasks to maintain smooth daily operations.
Qualifications
Associates degree from a regionally accredited institution. Minimum of two years of office management experience, including budget coordination, meeting scheduling, document management, and general administrative operations. Proficiency in Microsoft Office (Word, Excel, PowerPoint). Strong written and verbal communication skills. Ability to work independently with minimal supervision and manage multiple priorities. Familiarity with project coordination principles, budget monitoring, and basic financial documentation. Knowledge of human resources processes related to onboarding, documentation, recruitment support, and personnel file management.
