Secretary @ Purchasing Department

Primary Purpose: To aid in the effective and efficient operation of the Purchasing Department so that it may provide the necessary purchasing services to all organizations of the school district.

Qualifications Education/Certification High school diploma or GED

Special Knowledge/Skills Ability to read and comprehend instructions, correspondence, and memos

Ability to make independent decisions regarding planning, organizing, and scheduling

Excellent public relations, organization, communication, and interpersonal skills

Proficient in the use of word processing and spreadsheet software

Ability to multi-task numerous administrative activities

Ability to type 60 words per minute with reasonable accuracy

Experience Two (2) years of administrative assistance experience preferred

Major Responsibilities and Duties Clerical Support Perform general secretarial work as may be assigned.

Assist in maintaining a list of established vendors.

Maintain a schedule of appointments and make arrangements for conferences and interviews.

Place ads in the local newspaper to meet bid requirement.

Prepare purchase order and check requisitions for the department.

Place and receive telephone calls and record messages.

Assist buyers in preparing required reports and forms.

Perform routine clerical tasks: including drafting of reports and letters, handling routine filing, and opening and routing mail.

Review approved purchase orders for accuracy and completeness and forward to vendors for processing.

Assist with management of departmental budget.

Other Follow district safety protocols and emergency procedures.

Maintain an appropriate level of technology competence to meet the current and future needs of Alief.

Implement alternative methods of instruction as needed.

Perform other duties as assigned.

Evaluation Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of Non-Instructional Paraprofessional Personnel.

Moderate lifting and carrying (up to 15 pounds); may require occasional heavy lifting and carrying (15-45 pounds)

Environment:

May work prolonged or irregular hours; frequent districtwide travel

Mental Demands:

Work with frequent interruptions; maintain emotional control under stress

Pay Grade: CSP5

2025-2026 Salary Range Min. $37,687 Mid. $45,087 Max. $52,486 (Based on previous experience)

Salaries are determined by the number of completed and eligible years of service at an accredited school.

Salary is based on 235 days. If working less than 235 days, the salary will be less.
