Senior Grants Specialist (Remote) – Department of Medicine – Business Office Washington University in St. Louis

invites applications for the senior grants specialist role. The position is fully remote and supports faculty, center directors, and staff throughout the pre‑award stage of sponsored projects.

Position Summary Grants Specialists (GS) play a vital role in the sponsored project life cycle, ensuring that research proposals adhere to sponsor guidelines and are successfully submitted. The Senior GS manages a portfolio of faculty post‑award and payroll sourcing activities with minimal supervision, particularly for a research‑intensive department.

Primary Duties & Responsibilities

Pre‑Award Management

– Performs pre‑award job duties for complex proposals (program projects, ARPA‑H, DOD, DOE). Works with faculty in proposal preparation and submission.

Budget & Analysis

– Manages budgeting, analysis, and justifications for proposals; gathers information for protocols and non‑technical proposal components.

Liaison

– Serves as a liaison between the Chair, Faculty, and Department Administrators.

Regulatory Compliance

– Stays current on federal and university research administration developments and complex regulations.

Submission Oversight

– Coordinates submission, prepares budgets, obtains pricing quotes, and compiles regulatory compliance data. Works with the Principal Investigator to compile and submit the entire grant according to agency/university guidelines.

Form Preparation

– Prepares and reviews all agency forms for submission; enters grant budgeting documents online; obtains PI and institutional signatures; initiates subaward setup through SUBS system; uploads pre‑award documents.

Post‑Award Coordination

– Manages and monitors complex sponsor budgets; approves purchasing documents; manages subawards; provides guidance on expenditures; checks accuracy and resolves fund profile issues; processes correspondence with granting agencies; obtains signatures and forwards financial status reports.

Financial Reporting & Closeout

– Manages complex sponsor project finances; creates monthly financial reports; assists DA in reconciling funds; processes budget adjustments; follows up with PI and facilitates submission of delinquent final reports.

Leadership Support

– Assists senior leadership with special projects as requested; performs other duties as assigned.

Working Conditions

Normal office environment; may travel to attend training sessions/seminars.

Typically sitting at desk; repetitive wrist, hand, or finger movement.

Office equipment available.

Education & Qualifications

Required Education

– Bachelor’s degree or combination of education and experience (minimum education may be substituted). No specific certification or professional license required.

Work Experience

– 3 years relevant experience in research administration, grant management, or a related field.

Preferred Qualifications

– Knowledge of S2S, RMS, and SUBS system; knowledge of agency guidelines; experience with complex grant processes.
