Job Description Job Summary This position supports the operations of Harvard's high school programs by managing program data and communications, including application materials and correspondence with students, families, Summer School faculty, and DCE staff.

Job-Specific Responsibilities The Harvard Summer School (HSS) annually welcomes over 9,000 students to the Cambridge campus for intensive course work, 3,100 of whom attend selective‑admissions programs for high school students: 1,700 in the Pre‑College Program (Pre‑College), and 1,500 in the Secondary School Program (SSP). These selective academic programs offer high school students from around the world the opportunity to study with Harvard Faculty and visiting scholars. These programs receive nearly 8,000 applications each year and we anticipate growth in applications and participants.

This position reports to the Associate Director, Secondary School Program within the HSS Office of High School Programs. The position ensures accuracy in applications; electronically logs and files application materials; corresponds with faculty; corresponds with applicants and their families; corresponds with admitted students; assists with processing and analyzing evaluation and assessment instruments; and serves as the initial contact for office visitors.

Receive, verify, and file application materials and student forms, including confirming the accuracy of documents submitted by school counselors and third parties.

Communicate in all forms (email, phone, in person) and serve as a source of information for applicants/students, family members, and faculty related to departmental policies and procedures.

Preview completed applicant files to ensure all materials are received and applications are ready to be reviewed by admission committee members.

Support staff with managing applicant and student data, processing changes, and verifying onboarding completion.

Gather and prepare data reports for summer staff and program assessment.

Conduct usability testing of the online student applications, including backend functionality, and make recommendations for enhancements and/or edits to our websites.

Serve as the primary point of contact for visitors and general inquiries.

Other duties as required.

This position will be based in Cambridge, MA.

Work is performed in an office environment with extensive computer and meeting use. During the Summer Program months (June‑August), this position will be required to work on‑campus daily, as well as some evenings, and several weekends for check‑ins.

Hybrid workplace models are in place at Harvard Summer School (HSS) with a minimum of 1 day per week on campus during the fall and spring semesters. DCE or department may adjust these as necessary or appropriate. Furthermore, individual flexible and remote work options for this role will be discussed during the interview process.

Physical Requirements Some lifting of boxes (office supplies, check‑in materials) and office set up may be required.

Qualifications Basic Qualifications

Three or more years of office, customer service, and/or data entry experience

Education beyond high school may count toward experience.

Additional Qualifications and Skills

Bachelor's degree preferred.

Experience scheduling appointments, managing calendars, interacting over the phone, and acting as a greeter.

Excellent organizational skills, strong written and interpersonal communication skills, and the ability to work well in a team environment.

Experience using Salesforce, Banner, and Microsoft Office applications (including Excel) preferred.

Additional Information

Standard Hours/Schedule:

35 hours per week

Compensation Range/Rate (including Shift Differential if applicable):

$60K‑$70K, potential max of $75K

Work Format Details This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non‑Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard‑designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University's Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
