Role Description:
Phamily is seeking a proactive and organized Office Manager to oversee day‑to‑day operations and work on‑site at our New York City office. This role ensures that the office remains an efficient, welcoming, and well‑run space for employees and visitors. The Office Manager will handle all aspects of office logistics, from supply management to vendor coordination, and will play a key role in creating a positive in‑office experience through events and team gatherings. This person will also provide light administrative support to the Chief of Staff to streamline company operations and help scale internal systems as the office grows.
Key Responsibilities
Act as the operational heartbeat of our NYC spaces, cultivating a polished and inviting workplace, driving culture‑enhancing initiatives, and ensuring seamless day‑to‑day functioning.
Manage relationships with vendors and service providers (cleaning, trash, internet, deliveries, etc.).
Order and maintain office supplies, snacks, and equipment as needed.
Plan and coordinate in‑office team events such as lunches, meetings, and events.
Support onboarding logistics for new hires (workspace setup).
Assist the Chief of Staff with administrative and operational tasks to improve efficiency.
Track office‑related expenses and support budget management for office operations.
Serve as the main point of contact for office inquiries, building management, and deliveries.
Other projects and tasks as assigned.
Requirements
3+ years of office management, administrative, or operations experience (startup experience preferred).
Strong organizational and multitasking skills with keen attention to detail.
Excellent communication and interpersonal abilities.
Comfortable managing vendors and negotiating basic service agreements.
Self‑starter who takes initiative and ownership of the office experience.
Proficient in Google Workspace and comfortable adopting new tools.
Availability to work on‑site in Manhattan, NYC: Tuesdays‑Thursday 9:00 a.m. – 4:00 p.m. (30‑minute lunch break) OR Monday‑Thursday 10:00 a.m. – 3:00 p.m.
