The Opportunity The Service Operations Coordinator is responsible for managing and coordinating service-related activities to ensure efficient operations and exceptional customer support. The role involves processing service reports, managing billing, scheduling preventive maintenance, organizing audits, and following up on service engagements.
Key Responsibilities
Service Billing Coordination: Prepare and process billing documentation for completed service activities in compliance with company standards.
Preventive Maintenance Scheduling: Develop and maintain preventive maintenance schedules to optimize equipment performance and minimize downtime.
Collaborate with the supply chain team to ensure on-time delivery, quality, and accuracy of preventative maintenance parts.
Audit Scheduling: Coordinate and schedule audits at customer locations, ensuring compliance with operational and safety standards.
Follow-Up on Service Engagements: Review, validate, and route technician service reports for accuracy and completeness.
Communicate with customers post-service to confirm satisfaction, address concerns, and identify future service needs.
Triage any follow-up items indicated in the service reports.
Data Management: Maintain accurate records in ERP/CMMS systems for service jobs, parts orders, and invoicing.
Cross-Functional Collaboration: Work closely with service managers, technicians, and finance teams to ensure timely job closure and invoicing.
What You Need to Succeed
Education: Associate degree in Business Administration, Technical Services, or related field (Bachelor’s preferred).
Experience: 2+ years in service coordination, operations support, or a similar role.
Familiarity with ERP systems and service management tools.
Strong organizational and time-management skills.
Excellent verbal and written communication abilities.
Proficiency in Microsoft Office Suite and ERP/CMMS platforms.
Ability to manage multiple priorities and meet deadlines.
Customer-focused mindset with problem-solving ability.
High attention to detail and accuracy in documentation.
Ability to work independently and as part of a team.
