Position Overview:

Nulixir is hiring an

Executive Business Assistant

who acts as the

glue across leaders

to push two outcomes that matter every week:

Commercialization velocity

— moving customer opportunities into approvals, launches, and revenue

Ops efficiency

— making sure what we sell can be produced reliably, repeatably, and efficiently (time, cost, yield, quality)

You’ll sit at the center of cross-functional execution between Commercial, R&D, Operations, and Quality. Your job is to keep priorities aligned, decisions documented, deliverables moving, and loops closed—so projects don’t stall and launches don’t slip.

Position Location:

On‑site at our HQ facilities in the

Austin, TX Metropolitan Area .

In this critically important role, you will be responsible for:

1) The “Glue” Across Executives (Operating Rhythm + Follow‑Through)

Run the operating cadence for commercialization + product efficiency initiatives (weekly rhythms, check‑ins, action tracking).

Make meetings productive: prep agendas, capture decisions, assign owners, track deadlines, and ensure closure.

Maintain a single “source of truth” for top priorities: status, next steps, blockers, dependencies, and due dates.

Proactively surface risks and misalignment early—then drive resolution with facts, options, and dates.

Coordinate end‑to‑end workflows for customer projects: sample requests, prototypes, feedback loops, approvals, and launch readiness.

Ensure internal deliverables move on time across R&D, Ops, and Quality (specs, timelines, pricing inputs, production slots).

Track and document what was promised vs. what is being executed (ingredients, functionality targets, timelines, packaging assumptions).

Own the follow‑up engine after customer calls and internal reviews so next steps are fast and visible.

3) Product Efficiency (Launch Without Chaos)

Coordinate cross‑functional work to improve repeatability and efficiency of products we commercialize:

Reduce changeovers, reduce rework, reduce scrap

Improve yield, throughput, consistency, and on‑time production

Track top operational constraints impacting commercialization (ingredient availability, line time, QC holds, process readiness).

Support implementation of standard playbooks for “ready‑to‑scale” products: checklists, specs, process parameters, QC checkpoints.

Keep a tight feedback loop from production back to commercialization so future formulas are designed for scale.

4) Metrics, Dashboards, and Executive‑Grade Clarity

Build and maintain trackers/dashboards in

Google Sheets/Excel

for:

Cycle time and bottlenecks

Top efficiency improvement projects and their impact

Prepare short weekly executive summaries: what moved, what’s stuck, what decisions are needed.

5) Close‑the‑Loop Culture

Be the person who ensures execution happens: if something is assigned, it gets done—or escalated quickly.

Hold a high bar for clarity, speed, accuracy, and accountability across the teams you support.

Create structure that helps teams move faster without dropping quality.

Relevant Job Experiences, Skills, and Key Requirements:

2–6+ years

experience in a high‑execution role: executive assistant (high‑performing), business operations, program coordination, commercialization support, project coordination, or similar.

Strong proficiency in

Google Workspace and/or Microsoft Office , especially

Sheets/Excel .

Excellent written/verbal communication and professional judgment.

Highly organized with strong attention to detail; you naturally build structure and systems.

Comfort working cross‑functionally with Commercial, R&D, Ops, and Quality.

High ownership and strong follow‑through—people trust you to close loops.

Comfortable working on‑site in a fast‑paced, high‑growth environment.

Nice to have:

Exposure to manufacturing operations, product development, or food & beverage/CPG environments.

Familiarity with basic KPIs (throughput, yield, scrap, cycle time) and commercialization milestones.

Experience supporting product launches or customer‑driven development timelines.
