POSITION OVERVIEW The Facilities Manager is responsible for ensuring the efficient operation and maintenance of all facilities, fostering a safe, clean, and well‑organized environment for staff and visitors. This role involves overseeing housekeeping and maintenance operations, managing vendor relationships, and ensuring compliance with safety regulations and industry standards.
KEY ESSENTIAL FUNCTIONS
Lead and supervise housekeeping and maintenance teams, including scheduling coverage for absences and managing overtime assignments.
Supervise all assigned buildings to ensure interior and exterior conditions are maintained to high standards.
Monitor and maintain critical systems, including HVAC, fire alarms, sprinklers, boilers, grease trap, smoke detectors, elevators, doors, plumbing, roofing, electrical, pest control, and emergency generators, ensuring all inspections and documentation are up to date.
Ensure all facilities maintain updated Safety Data Sheets (SDS) and comply with fire drill requirements and all applicable safety codes and regulations.
Manage relationships with external vendors and contractors to ensure timely, cost‑effective repairs and maintenance, while upholding quality standards and meeting contractual requirements.
Oversee the procurement of custodial and grounds supplies, linens, and uniforms, ensuring efficient storage, accurate inventory tracking, and timely distribution.
Manage projects within budget scope and according to set timelines. Ensure all financial requirements, guidelines, policies, and ethics are adhered to strictly.
Conduct weekly environmental rounds of all assigned facilities, completing inspection reports that address building and safety concerns, as well as assessing the operational and audit readiness of each facility.
Participate in hiring, training, evaluating, and recommending disciplinary actions for facilities staff; conduct annual performance reviews to ensure high standards of performance.
Oversee invoice reconciliation, purchase order preparation, and check request submission to ensure accurate and timely payments to vendors.
Prioritize, assign, and ensure the timely and accurate completion of work orders.
Create a monthly schedule for floor maintenance, including stripping, waxing, and buffing.
Create and manage a schedule for ongoing painting at all facilities, including special projects and preparations for pending audits.
Manage the building key system, access control, and master key records in compliance with security policies and procedures.
Additional responsibilities as directed.
REQUIREMENTS
High School Diploma/GED, required;
Bachelor’s degree in Facilities Management, Construction, Engineering, or a related field preferred;
Minimum of three (3) years of progressively responsible experience in building systems maintenance, grounds maintenance, and housekeeping services, including at least three (3) years in a supervisory role;
In‑depth knowledge of HVAC, electrical, plumbing systems, and other maintenance and operation systems.
