Academic Programs Coordinator

– UT Health San Antonio

Job Overview Under direct supervision, you will provide administrative support for the department's academic mission while ensuring compliance with internal and external regulatory standards. You will facilitate and coordinate a broad range of academic activities, maintain records and databases, provide curriculum information, manage the application process, and sustain documentation for continued accreditation. The role is 100% on‑site and may involve close collaboration with the Program Director as the primary resource for students, residents, and fellows.

Responsibilities

Facilitate and coordinate academic programs, conferences, and schedules.

Manage the program application process and assist in screening applicants for the fellowship program.

Schedule interviews with faculty and staff, and arrange travel for fellowship applicants.

Maintain records and databases for all fellowship‑related materials, including the coordination of medical certifications, licensure, and professional liability for fellows.

Oversee student registration, class schedules, room reservations, teaching materials, grade reporting, and exam scheduling.

Coordinate weekly meetings, including room reservations, catering, speakers, and sign‑in sheets.

Perform all other duties as assigned.

Qualifications

Demonstrated business acumen in managing budgets, contracting, and funding sources.

Ability to evaluate and plan human‑resource needs, recruit and supervise personnel.

Strong verbal, written, and interpersonal communication skills.

Ability to serve as a resource to faculty, staff, and students.

Capacity to work in a dynamic, interdisciplinary environment with long periods of indirect supervision.

Education

Associate's degree required.

Experience

Five (5) years of relevant experience required; specific experience in curriculum development may be required.
