Summary Provides a wide variety of general and specialized administrative and support functions of a highly responsible and confidential nature with a broad understanding of the implications and the relationship to the work of others in the organization; Typically reports to a very high level executive who directs several different major functions and requires a fully seasoned assistant
Essential Duties
Communicates and/or coordinates supervisor’s instructions and desires with various individuals and/or departments
Furnishes and obtains information from other managers and/or outside representatives
Organizes and maintains supervisor’s correspondence and records, following up on pending matters with limited direction
Prepares and analyzes trends and status reports, drawing data from a variety of sources within and outside the department
Composes routine letters and memoranda; routes or answers routing correspondence not requiring supervisor’s attention
Organizes and prepares complex documents requiring the integration of multiple office technology and software applications; may serve as the office resource for word processing and spreadsheet application
Organizes and expedites flow of work through supervisor’s office; initiates follow‑up action
Maintains confidential department records and files; interacts regularly with customers, suppliers, and employees outside the immediate work area on behalf of the supervisor
Organizes meetings and makes travel arrangements
May assist in the formulation of the departmental budget, business planning, and related planning functions
May oversee the work of other clerical staff
Performs other duties as assigned by the appropriate administrator
Required Education High School Diploma or GED equivalent
Certification/Licensure None required
Experience Qualifications Minimum of 5 years clerical/administrative experience required with at least 2 years of experience working for a high-level executive
Knowledge/Skills/Abilities
Ability to become knowledgeable about District and departmental policies, procedures, and organizational structure
Ability to adapt departmental policies and procedures to routine skills
Ability to draft and compile correspondence from a variety of sources
Requires a high level of tact and integrity
Thorough knowledge of the supervisor's accountabilities and method of operation
Ability to work with minimal supervision
Proven ability to handle confidential information
Must be detail-oriented and able to multi-task
Excellent organizational skills
Excellent communication skills both written and verbal
Working Conditions
Normal office environment
Physical Demands
Routine physical activity associated with normal office environment
May have to lift up to 10 lbs
