Purpose Statement The job of Bookkeeper – Teaching and Learning is to provide support to department activities with specific responsibilities for an array of fiscal services for the Teaching and Learning department and school site staff; conveying and updating fiscal information; and ensuring that fiscal practices are followed, and disbursement of funds is within proper and legal guidelines.

Essential Functions

Assists with the coordination of Federal, State, and/or local grants for the purpose of meeting Federal and State mandated requirements.

Assists auditors for the purpose of providing supporting documentation and/or information on internal processes that are required for audit.

Claims, monitors, and supports grants in federal and state grant systems for the purpose of supporting Special Programs and Teaching and Learning.

Compiles financial information related to work assignments for the purpose of providing required documentation and/or processing information.

Coordinates delivery of supplies and equipment for the purpose of maintaining the Teaching and Learning office and programs.

Maintains financial records related to Teaching and Learning department activities and/or programs to ensure completeness and availability of records and compliance with district policy and established regulatory guidelines.

Manages purchasing, delivery, and inventory of equipment and supplies for the Teaching and Learning department and programs to ensure efficient and effective operations.

Manages multiple department funds (e.g. Federal/State/local grants, etc.) to ensure accuracy of financial transactions and records including fund balances.

Monitors the financial management of grants (e.g. budget preparation, budget adjustments, expenditures, etc.) to comply with all program and funding guidelines of awarding organizations.

Monitors financial procedures with individuals responsible for the department's financial operations to provide services within established guidelines.

Participates in unit meetings, in‑service training, workshops, etc. to convey and/or gather information required to perform job functions.

Performs general and program‑specific clerical functions (e.g. distributing purchase orders, scheduling, copying, faxing, etc.) to support departmental activities.

Prepares written materials and electronic financial information (e.g. account status, revenue, student fees, gifts and grant funds, state and federal, etc.) to document activities, provide reference, convey information, and comply with established financial, legal and/or administrative requirements.

Processes financial information (e.g. purchase orders, check requisitions, etc.) for updating and distributing information, authorizing actions, and complying with established accounting practices.

Purchases equipment and supplies for the purpose of the use by the Teaching and Learning department and programs.

Reconciles financial data for maintaining accurate account balances and ensuring compliance with established accounting practices.

Requests quotations from vendors, warehouse, and/or district office staff to provide cost information, purchasing and securing items.

Researches discrepancies of financial information and/or documentation (e.g. purchase orders, invoices, etc.) to ensure accuracy and adherence to established procedures prior to processing.

Responds to inquiries of staff and administration regarding financial procedures to provide information, direction, and/or referral for addressing inquiry.

Supports department administration for providing assistance with their functions and responsibilities.

Supports and works with building and departments in developing budgets for grant opportunities to develop additional funding resources for both current and proposed services and programs.

Other Functions

Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Transports money to have the proper funds available to make change if needed.

Job Requirements: Minimum Qualifications Skills, Knowledge, and Abilities Skills:

Operating standard office equipment; performing standard bookkeeping; preparing and maintaining accurate records; and using pertinent software applications.

Knowledge:

Bookkeeping principles and practices; standard office machines, methods and practices of office operations; and basic computer applications. Also proficiency in algebra and/or geometry, reading a variety of manuals, writing documents following prescribed formats, and presenting information to others.

Abilities:

Scheduling activities; gathering, collating, and classifying data; utilizing basic job-related equipment; flexibility in working with others and processes; attention to detail; communicating with diverse groups; meeting deadlines; working with frequent interruptions; and handling detailed information/data.

Responsibility Responsibilities include working under direct supervision using standardized routines; providing information and/or advising others; monitoring budget expenditures. Utilization of some resources from other work units is often required to perform the job's functions. There is some opportunity to impact the organization's services.

Work Environment The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, pulling, stooping, kneeling, crouching, crawling and significant fine finger dexterity. Generally, the job requires 75% sitting, 15% walking, and 10% standing. This job is performed in a generally clean and healthy environment.

Experience Job‑related experience with increasing levels of responsibility is desired.

Education (Preferred) Target job‑related education is desired.

Education (Minimum) High school diploma or equivalent.

Required Testing District proficiency test.

Certificates and Licenses Valid Washington State Driver's License & evidence of insurability.

Continuing Education / Training None specified.

Clearances Washington State Patrol and FBI fingerprint.

Background Clearance Background clearance required; any offer of employment is conditional upon successful completion of FBI and Washington State Patrol fingerprint background check.
