JOB SUMMARY

The Risk Management and Insurance Coordinator provides legal and administrative support focused on insurance and risk management matters across Uniland’s portfolio. Primary responsibilities include managing insurance policies and claims, assisting with claim and incident resolution, collaborating with internal departments to mitigate risk, and supporting the Sales department with daily administrative tasks.

ESSENTIAL FUNCTIONS

Legal

Prepare, review, and file documents related to insurance policies.

Facilitate administration of insurance claims, coordinating with brokers, carriers, and internal teams.

Manage compliance with certificate of insurance requirements and other risk‑management documentation.

Maintain organized records for all insurance matters, including policies, claims, invoices, and correspondence.

Develop detailed reports, correspondence, and summaries related to insurance costs for financial reporting.

Liaise with carriers, brokers, and internal teams to ensure smooth communication and timely issue resolution.

Monitor insurance‑related legal, regulatory, and industry developments; identify potential risks and opportunities.

Evaluate and improve processes and systems related to insurance policy administration and claims tracking.

Track and maintain insurance policy renewal dates and coordinate renewal processes.

Review and verify certificates of insurance requests from tenants, contractors, and vendors.

Prepare and maintain insurance policy summaries, coverage matrices, and premium allocation schedules.

Assist with incident and accident reporting, including documenting events and coordinating with adjusters.

Coordinate property inspections and loss control assessments with carriers.

Maintain insurance claim logs and tracking systems, monitoring claim status and settlement negotiations.

Prepare correspondence and documentation for underwriting submissions, policy endorsements, and coverages.

Assist with annual insurance program reviews, cost comparisons, and optimization recommendations.

Coordinate with finance on premium payments, claim reimbursements, and accrual reconciliations.

Review insurance requirements in contracts and leases for appropriate coverage and compliance.

Maintain vendor and contractor insurance compliance files.

Sales Support

Provide administrative support to the Sales department to ensure seamless daily operations.

Manage and update sales lead activity in the sales management system.

Prepare, edit, and distribute sales reports, meeting agendas, lease proposals, abstracts, lease documents, and commission agreements.

Assist with marketing and sales materials for property listings and promotional efforts.

Maintain organized filing systems for sales and leasing documentation.

Coordinate lease packages and submissions, including approvals via DocuSign.

Act as the primary point of contact for internal and external correspondence.

Schedule and coordinate departmental meetings, conference calls, and virtual meetings.

Manage and update real estate broker and agent databases while coordinating mailings.

Assist in processing sales tax exemption letters, employment verification reports, and lease approval tracking.

OTHER DUTIES

Provide general office administrative support, serving as a backup receptionist.

Attend subject‑matter conferences, workshops, and networking events to stay updated on legal matters and industry trends.

Participate in initiatives when requested or required.

Conduct basic research and data compilation to support sales initiatives.

Conduct periodic audits of sales databases and records.

EDUCATION & EXPERIENCE

Bachelor’s degree in Real Estate, Business Administration, or Finance required.

A minimum of 3 years of administrative experience, preferably in commercial real estate development, property management, or insurance administration.

Familiarity with commercial real property documents and insurance/risk management.

Proven communication and interpersonal skills, interacting with stakeholders, attorneys, municipal authorities, and executives.

KNOWLEDGE, SKILLS & ABILITIES

Knowledge of commercial real estate terminology, leasing processes, and sales operations.

Basic understanding of financial tracking, lease agreements, and reporting functions.

Proficiency in document management, electronic filing systems, and legal case tracking systems.

Strong organizational skills to manage complex property files, development projects, and multiple deadlines.

Attention to detail to ensure accuracy in documentation and regulatory reporting.

Discretion and confidentiality in handling sensitive information.

Effective coordination across development, legal, tax, and property management teams.

Proficiency in Microsoft Office Suite and CRM systems such as HubSpot or Deal Manager.

Excellent written and verbal communication skills.

Strong interpersonal skills to build positive relationships with internal teams and external partners.

Problem‑solving skills with proactive support.

Strong time‑management skills to prioritize tasks efficiently.

Familiarity with scheduling meetings and preparing agendas.

Compensation details:
