We are seeking a detail-oriented and highly organized Part-Time Recruitment Coordinator to support recruiting operations across multiple client engagements. This in-person role is critical to ensuring a timely, accurate, and professional candidate experience while maintaining internal recruiting workflows, reporting deadlines, and client deliverables.

The ideal candidate has a solid understanding of the recruitment lifecycle, foundational knowledge of HR principles, and thrives in a structured, deadline-driven environment where timeliness, follow-through, and attention to detail are essential.

Key Responsibilities Job Posting Setup & Management

Set up and post job openings in the ATS (Breezy) and on external job boards (e.g., Indeed, LinkedIn)

Ensure postings are accurate, complete, and aligned with approved job descriptions

Monitor postings for visibility, accuracy, and applicant flow

Update or adjust postings as directed by the Lead Recruiter

Candidate Intake, Application & Job Board Monitoring

Monitor applicant activity in the ATS

at least twice daily

Monitor applicant activity on external job boards and ensure timely review of new applications

Review applications for completeness against posting requirements

Communicate promptly and professionally with candidates regarding missing documents, questionnaires, or next steps

Manually add candidates from job boards into the ATS as needed, ensuring accurate source tracking

Send and track questionnaires (when applicable), requiring completion within established timelines (48 hours)

Candidate Pipeline & Process Management

Maintain accurate, real-time candidate pipeline stages in the ATS

Prepare candidate packages for internal review by consolidating materials into a single PDF

Upload candidate packages to client SharePoint folders following internal processes

Move candidates through the pipeline

only with Lead Recruiter approval

Document approvals, updates, and candidate communications in the ATS

Candidate Communication & Timeliness

Serve as a primary point of contact for candidates during early recruitment stages

Ensure all candidate correspondence is timely, professional, and consistent

Follow up as needed to meet document, questionnaire, and response deadlines

Maintain a positive, organized, and responsive candidate experience

Reporting & Internal Coordination

Prepare and maintain weekly recruiting reports and tracking spreadsheets

Ensure drafts are ready in advance of deadlines

Participate in a

weekly Thursday coordination meeting

with the Lead Recruiter

Incorporate feedback following the meeting

Submit finalized recruiting reports to clients by

Friday close of business

Qualifications

1–3 years of experience in recruiting coordination, talent acquisition, or HR support

Working knowledge of the recruitment lifecycle

Foundational understanding of HR principles and concepts

Experience setting up and managing job postings in an ATS and on job boards

Experience using an ATS (Breezy preferred)

Familiarity with job boards such as Indeed and LinkedIn

Strong written communication skills and attention to detail

Proficiency with Microsoft Office, Zoom, and Share Point file management strongly desired.
