Base pay range: $75,000.00/yr - $100,000.00/yr
Key Responsibilities
Manage the front‑end of the tax return process, including seasonal kickoff communications, organizers, document requests, scanning, and SurePrep input and verification.
Track and update client tasks within workflow systems to move work through preparation, review, and completion.
Manage the back‑end of the tax process, including return assembly, e‑filing, acknowledgments, workpaper organization, and client delivery.
Coordinate with tax preparers, reviewers, and seasonal staff to ensure timely and accurate filings.
Continuously document and refine tax workflows to improve efficiency and consistency.
Client Communications & Service Coordination
Serve as the primary front‑line contact for client communications (in person, phone, and email).
Field client questions, determine when CPA involvement is required, and ensure timely follow‑up.
Proactively communicate deadlines, document needs, next steps, and upcoming meetings.
Conduct client check‑ins to support service quality and gather feedback.
Communicate the firm’s value proposition clearly and professionally to clients and prospects.
New Client Intake & Onboarding
Serve as the point person for all new client intake and onboarding.
Screen incoming inquiries using standardized intake criteria to ensure service and fee alignment.
Set up new clients across firm systems, portals, and tax software.
Send proposals, engagement letters, welcome communications, and document requests.
Ensure a smooth, professional onboarding experience that establishes long‑term client relationships.
Internal Operations & Firm Coordination
Maintain the client master list, task templates, and administrative workflows.
Oversee firm‑wide calendars, due‑date tracking, and recurring client communications.
Ensure internal task statuses, priorities, and workflows are clearly documented and visible.
Support client work where applicable, including payroll coordination, sales and use tax, and bill pay.
Assist in developing and maintaining templates for communications, engagement letters, and workflows.
Qualifications
Exceptional organizational skills and attention to detail.
Strong written and verbal communication skills with confidence in client interactions.
Ability to manage multiple workflows, deadlines, and priorities simultaneously.
Process‑oriented mindset with a focus on efficiency and continuous improvement.
Comfort with technology and willingness to learn firm systems and tools.
Professional, proactive, and service‑oriented approach.
Prior experience in a CPA firm or professional services environment preferred.
