Summary
Dobbs Equipment is seeking a Branch Administrator. This position performs a full range of administrative and sales support duties for a Dobbs Equipment dealership location. This is a full‑time, in‑office, non‑exempt position.
Essential Functions and Responsibilities
Enter payroll hours for the service team daily and process payroll for the branch weekly (ADP Function)
Provide administrative support to all branch departments, including parts, sales, and service
Handle incoming and outgoing phone calls and email correspondence through the branch
Assist walk‑in customers by learning basic qualifying questions for rentals, demos, and sales to generate business
Coordinate with local vendors (plumbing, A/C, landscaping) to ensure services are properly completed
Maintain a professional store image by stocking literature displays, coffee pods, printer paper, ink, and organizing storage closets and office items
Lead branch events and customer appreciation events
Deposit cash daily and manage petty cash
Issue purchase orders and approve invoices when necessary
Work with DHQ to open customers in‑house and Power Plan accounts
Reconcile credit card statements for the P‑Card
Set up new vendor accounts with DHQ as needed
Process check requests
Create customer invoices, including ad‑hoc invoices as required
Assist the Salesman & General Manager in collecting on aged accounts
Work closely with Credit, Payments, and customers to keep accounts
Conduct customer account deep dives (calling reps at PP, resolving issues, matching, requesting credits, etc.)
Participate in a weekly A/R call with Headquarters
Maintain accurate and timely records, including rental agreements, demo agreements, requests, filing, and correspondence with DHQ
Support territory managers and ISR’s with all types of customer or equipment issues
Assist company personnel in locating equipment and determining availability within the branch and other branches
Create customer invoices, including proforma invoices, when needed
Become familiar with DIT (Dealer Inventory Tracking) and act as a backup to branch ISR regarding inventory and yard duties
Assist the sales team with hiring haulers for equipment transfers, rental moves, and related tasks
Qualifications
Valid driver's license
Customer service experience
Administrative support experience
Education, Skill, & Experience Requirements
Two‑year college degree or heavy equipment sales experience may substitute or combine with education
Highly developed organizational and communication skills; broad computer skills required
Valid driver's license and maintenance of a clean driving record
Effective communication with teammates and customers
Strong problem‑solving skills
Self‑management and self‑motivation
PC literate, proficient with MS Office (especially Excel and Outlook)
Ability to apply common sense to instructions in written, oral, or diagram form
Basic math skills (addition, subtraction, multiplication, division in all units)
Quick learner who can think creatively
Bilingual language skills a plus
Work Environment The work environment is representative of those employees encounter while performing the essential functions of this role. Employees are occasionally exposed to wet and/or humid conditions, moving mechanical parts, and outside weather. The noise level is usually quiet.
Physical Demands Employees are regularly required to stand, use hands to finger, handle, or feel; reach with hands and arms; talk; and hear. Walking, climbing, balancing, stooping, kneeling, crouching, and crawling are frequent. Sitting is occasionally required. Employees must regularly lift and/or move up to 50 pounds and occasionally lift and/or move up to 100 pounds. Specific vision abilities include close vision and color vision.
