What You’ll Do As a Document Management & Training Specialist, you will directly contribute to LifeLink’s life-saving mission.
The Document Management and Training Specialist plays a critical role in maintaining compliance with federal, state, and regulatory standards by managing the OPO’s controlled documents and coordinating organizational training programs associated with those documents. This position supports operational excellence and regulatory readiness by ensuring proper creation, revision, approval, distribution, and archival of quality and clinical documentation. Additionally, this role is responsible for the development, scheduling, tracking, and continuous improvement of staff training programs related to new and revised documents.
Key Responsibilities
Administer and maintain the SAI Compliance 360 (C360) document control system for the LifeLink OPOs in compliance with regulatory and accreditation standards.
Manage daily documentation workflows, from drafting and publication to training assignment. Oversee process compliance and provide training to new users on system usage.
Ensure documents including policies, protocols, and forms are current, approved, and properly archived within the system.
Ensure electronic documents within the iTransplant system are maintained as current, approved, and align with policy and protocols for the OPOs.
Collaborate with OPO leadership to ensure policy aligns with current practices and OPO specific protocols are in alignment with OPO policies.
Work across OPOs to align OPO‑specific protocols with policy and facilitate maintenance of a standardized look and feel to the protocols and associated documents.
Collaborate with OPO leadership to identify training needs and develop training plans for rollout of new policy and protocols as well as revisions to existing policy and protocols.
Maintain training records for policy rollout.
Participate in internal and external audits as a resource for policy and protocols for the LifeLink OPOs.

Bachelor’s degree in healthcare administration, quality, education, or a related field required
At least 2 years of experience in document control, quality systems, or training coordination in a regulated healthcare setting preferred
Familiarity with CMS Conditions for Coverage, FDA regulations, and OPTN standards is highly desirable
Ability to interpret regulatory requirements
High attention to detail and proficient in the use of electronic document control and training processes in a highly regulated environment
Strong organizational, communication, and problem‑solving skills
Certified Professional in Healthcare Quality (CPHQ), Certified Quality Auditor (CQA), or similar preferred
Training or instructional design certifications are preferred
A collaborator who thrives in a mission‑first environment
Working Conditions Work requires extended hours during peak procurement periods. Office space and equipment will be provided to perform necessary duties.
