Legal Intake Specialist
to their team.
Salary/Hourly Rate $55,000 – $80,000 annually (depending on experience)
Position Overview As the Legal Intake Specialist, you will serve as the gatekeeper for onboarding new clients and new matters. You will play a critical role in ensuring the firm avoids conflicts of interest before accepting new clients. Once approved, you will set up the new client and matter in the firm’s database, assign tracking numbers, and maintain accurate, up‑to‑date records. You will also liaise with attorneys and firm operations staff whenever issues arise, always safeguarding sensitive client and firm information.
Responsibilities
Perform detailed conflict‑of‑interest research and reviews before new matters are accepted and generate Conflict of Interest Reports.
Follow the firm’s New Business Intake (NBI) procedures and Reference Manual.
Assign unique client and matter ID numbers and set up new matters in the system.
Maintain and update client and case records and ensure database integrity and accuracy.
Communicate with attorneys when conflicts or other issues arise and coordinate approvals or declines.
Close or re‑open matters as needed (including re‑checking conflicts when re‑opening).
Run business‑research reports (e.g., from business‑information sources) to verify new clients’ credentials and information.
Create and manage existing Attorney reports and handle attorney requests to close client files.
Provide training and guidance for new NBI team staff on intake policies and procedures, as needed.
Uphold firm‑wide confidentiality standards and protect all client/firm data and documentation.
Required Experience / Skills
At least 2 years of new business intake (NBI) experience at a law firm, including conflict searches and matter setup.
Demonstrated close attention to detail, accuracy, and confidentiality.
Experience using business‑research tools (e.g., Dun & Bradstreet, Hoover’s) or other commercial research databases.
Education Requirements
Bachelor’s degree (or equivalent) is required.
