About the Role We are seeking a highly organized, motivated Litigation Paralegal / Legal Secretary to support a boutique firm in their civil litigation practice. The ideal candidate will be detail-oriented, proactive, and capable of multitasking in a fast-paced law office environment. This hybrid role involves both substantive paralegal responsibilities and traditional secretarial/administrative tasks to support attorneys and enhance firm operations.

Key Responsibilities Paralegal Duties

Assist attorneys with all aspects of civil litigation, from case inception through trial preparation.

Draft, format, and file legal documents, including pleadings, discovery requests/responses, motions, briefs, and correspondence.

Conduct legal research and organize case information and legal authorities.

Prepare exhibits, case summaries, chronologies, and trial binders.

Maintain case files; track deadlines (statutes of limitations, discovery schedules, court hearings).

Coordinate and manage electronic case filing (e-filing) with local, state, and federal courts.

Secretarial / Administrative Duties

Provide high-level secretarial support including preparing correspondence, memos, and internal documents.

Answer phones, greet clients, and manage calendar/scheduling of hearings, depositions, meetings, and deadlines.

Manage incoming/outgoing mail, scanning, filing, and maintaining document databases.

Maintain attorney calendars, docket deadlines, and court filings.

Pull and organize files; maintain both physical and electronic filing systems.

Assist with expense reports and time entry reporting.

Qualifications

Minimum 3–5 years

of experience as a litigation paralegal or legal secretary in a civil litigation law firm.

Strong working knowledge of California civil procedure, court rules, and litigation processes.

Proficiency with legal software (e-filing systems, case management platforms) and Microsoft Office Suite (Word, Excel, Outlook).

Excellent written and verbal communication skills.

Exceptional organizational skills and ability to manage multiple priorities under tight deadlines.

Detail-oriented with strong proofreading and editing skills.

Ability to work independently and collaboratively as part of a team.

Paralegal certificate or degree in paralegal studies preferred but not required.

Salary: $60,000–$90,000 DOE (Depending on Experience)
