Position Overview The
Project Administrator
supports the Geotechnical Department by assisting with day-to-day administrative and project coordination tasks. This role works closely with Project Managers and field teams to help keep projects organized, on track, and properly documented. It is well suited for someone who is detail-oriented, enjoys supporting multiple projects, and is looking to grow their experience in a technical or engineering environment.
Responsibilities include assisting with project schedules, coordinating routine assignments, organizing and maintaining project files, tracking basic project information, and providing administrative support related to invoices, reports, and documentation. The Project Administrator also helps communicate updates, follows established processes, and escalates questions or issues to the appropriate team members.
This position focuses on execution and support rather than decision-making, making it an excellent opportunity for someone early in their career or transitioning into the geotechnical or engineering industry.
Pay Ranges from $20.00 to $30.00 per hour based on experience.
Responsibilities Project Coordination & Tracking
Updates geotechnical project websites, tracks backlogs, and applies contract modifications.
Prepares, renews, and submits project invoices; follows up on payment status.
Prepares action plans, conducts risk analyses, and gathers necessary resources for geotechnical project execution.
Initiates and coordinates the submission of project proposals, contracts, and project modifications; remains involved throughout project life cycle to ensure successful closeout.
Financial & Budget Support
Assists in budgeting for geotechnical projects; tracks expenses and forecasts future costs.
Assesses and reports variances in project budgets vs. actuals.
Supports cost estimate preparation and implements processes to track new and ongoing projects, proposals, and addenda.
Communication & Client Interaction
Communicates with clients to resolve contractual or project-related questions.
Provides guidance on geotechnical project contract requirements, prepares and submits proposals, and ensures contract compliance.
Team & Cross-Functional Support
Collaborates with Geotechnical Project Managers, engineers, technicians, and other team members to align on project priorities and updates.
Identifies issues affecting project progress and assists in problem resolution.
Qualifications
Associate’s or Bachelor’s degree in Business, Project Management, or a related field preferred.
5+ years of experience in project coordination, administrative support, or operations within a technical or service-based industry.
Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams); experience with project management software (e.g., MS Project, Smartsheet, Monday.com) is a plus.
Excellent verbal and written communication skills.
Ability to work both independently and collaboratively in a fast-paced environment.
Familiarity with engineering, construction, or environmental services terminology and workflows is preferred.
Travel Requirements This position does not require regular travel as part of its primary responsibilities. However, occasional travel may be required, up to 10%, primarily for occasional off‑site meetings, training sessions, or company events. Travel, when necessary, will be communicated in advance and aligned with business needs.
Physical Demands & Work Environment
This position primarily operates in a professional office environment, requiring the ability to work at a desk for extended periods while using a computer, phone, and standard office equipment.
The position involves sitting for extended periods, performing data entry, and engaging in frequent communication via email, phone, and in-person interactions.
The role involves regular communication with team members, clients, and stakeholders, both in person and through virtual platforms.
The physical demands of the job may include occasional standing, walking, bending, and lifting of office materials up to 15 pounds.
