Payroll & Business Operations Specialist
We are seeking a motivated Payroll & Business Operations Specialist to join our team and play a key role in supporting our company’s growth and success. This role calls for strong attention to detail and a solid understanding of payroll processes, compliance, and employee data management. As a Payroll & Business Operations Specialist, you’ll ensure accurate, timely payroll for a multi‑state workforce while supporting key functions like consultant onboarding and benefits administration. You’ll have the opportunity to expand your expertise, drive process improvements, and make a meaningful impact across our growing organization.
Payroll Processing & Compliance
Monitor and track consultant hours through weekly timesheet submissions
Reconcile approvals across Vendor Management Systems, proactively follow up on missing entries, and ensure complete and accurate collection of all timesheet data.
Process bi‑weekly payroll accurately for 300+ employees across nearly all 50 states
Ensure proper calculation of wages, overtime, commissions, bonuses, garnishments, and deductions
Work with payroll provider to maintain compliance with federal, state, and local wage and hour laws
Administer payroll tax filings, W‑2s, and year‑end reporting
Reconcile payroll reports and general ledger entries
Employee Data & Systems Management
Maintain accurate employee payroll records, including new hires, terminations, pay changes, and benefit deductions
Partner with HR to ensure accurate benefit, PTO, and leave tracking
Support timekeeping system administration and troubleshooting
Audits, Reporting & Process Improvement
Support internal and external payroll audits
Assist with state registrations, unemployment claims, and workers’ compensation audits to maintain regulatory compliance.
Prepare clear and accurate payroll reporting for Controller and leadership
Identify opportunities for process improvement and implement efficiency measures to streamline payroll and operational workflows.
Employee Support & Consultant Onboarding
Respond to employee payroll questions with professionalism and confidentiality
Educate employees on pay statements, deductions, and tax withholdings
Assist with consultant onboarding process ensuring timely and accurate completion of all new hire paperwork and administrative setup.
The Ideal Candidate
Bachelor’s or associate’s degree in accounting or business studies and 1‑2 years’ experience preferred
Prior experience with multi‑state payroll administration
Fluency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint), Excellent in Excel
Prior experience using accounting software (Sage Intacct is preferred but not required)
Excellent analytical and problem‑solving skills
Strong attention to detail
Time management & ability to meet weekly deadlines (for invoicing, timesheet entry, etc.)
Organizational skills to track status of multiple weekly tasks
