Worcester Academy, an independent day and boarding school servinggrades 6-12 and postgraduates, is in the midst of the Rooted andRising Campaign, a $100 million comprehensive campaign that willstrengthen the Academy's people, programs, campus, and profile forgenerations to come.
The Manager of Advancement Services plays a mission-critical role insupporting the operational backbone of this campaign and allAdvancement initiatives. This position ensures the accuracy,integrity, and strategic use of constituent, gift, and prospect data.Working collaboratively across departments-including Admissions,Information Technology, and Finance-this individual oversees datamanagement, gift processing, reporting, and prospect researchfunctions that drive philanthropic success. The successful candidatewill bring technical expertise, a passion for data-informeddecision-making, and a collaborative spirit to help advance WorcesterAcademy's mission.
Key Responsibilities
Database & Systems Management
Serve as lead administrator for Worcester Academy's BlackbaudRaiser's Edge environment Maintain accurate constituent and gift records, including contactinformation, affiliations, and giving histories Manage data integrations among Raiser's Edge, Balckbaud, and theMyHilltop Student Information System Conduct regular data hygiene audits and oversee duplicateresolution and data integrity initiatives Design and maintain custom reports, dashboards, and analytics forAdvancement leadership to inform goals and strategy Collaborate with Information technology to maintain data security,system connectivity, and user support Serve as a key data liaison to ensure that shared campus systemsare aligned, accurate, and up to date Gift Processing & Reporting
Oversee or execute timely and accurate gift entry andacknowledgement processes, ensuring compliance with IRS and CASE standards Manage pledge records, recurring gifts, and soft credits Support stewardship efforts by ensuring that donor recognition,acknowledgements, and reports reflect accurate information Prospect Research & Management
Partner with the fundraising team to identify and prioritize majorgift prospects Utilize both internal data (giving histories, engagement patterns)and external resources (Windfall, LinkedIn, etc) to developcomprehensive prospect profiles Collaborate with gift officers to ensure accurate pipelinemanagement, campaign reporting, and progress tracking Reporting & Analytics
Generate strategic data reports on donor participation, campaignprogress, and fundraising performance metrics Partner with the Advancement leadership team to analyze andrecommend data-driven strategies for donor engagement and retention Policies, Compliance & Best Practices
Maintain adherence to donor privacy, data security, and ethicalfundraising standards Stay current on emerging trends in advancement technology andprospect research to ensure Worcester Academy remains at theforefront of best practices Leadership and Team Development
Lead system upgrades, workflow improvements, and documentation initiatives Serve as a strategic partner on the Advancement leadership team,helping guide operational planning for the Rising Campaign and beyond Experience and Skills:

3-5 years Demonstrated experience managing Blackbaud or similardatabases; experience with prospect research tools and reporting Required Skills
Excellent attention to detail, analytical thinking, and projectmanagement skills Ability to translate data into actionable insights Strong interpersonal and communication skills; able to collaborateacross technical and nontechnical teams Understanding of gift accounting and donor stewardship processes Commitment to confidentiality, integrity, and mission-driven work Preferred Skills
Experience in independent school or higher education environment Familiarity with prospect research tools (e.g., Windfall) Knowledge of campaign management and donor pipeline analytics Experience reconciling data between Advancement and Finance systems Working Conditions
Full-time, on-campus role with occasional evening or weekendresponsibilities during campaign events, fiscal close, or database upgrades Compensation
The starting salary is determined upon, but not limited to severalfactors, which include years of experience in a similar role,educational background, and expertise in database management.
