Job Description NDi is seeking a highly organized Management Support Specialist to provide Workforce Development, training coordination, administrative support, and facilities management services for a major federal IT and operations program at NSWCDD. This role supports Command-wide training programs, events, and workforce development initiatives by ensuring seamless logistics, classroom readiness, technology support, and customer service excellence. The ideal candidate brings experience coordinating training activities, managing classroom and event space, operating A/V and IT equipment, and supporting customers across Navy workforce systems.
Requirements
U.S Citizenship required.
Active Secret Clearance required.
This position requires 5 days onsite in Dahlgren, VA.
Qualifications and Experience
Three (3) years of professional experience providing training program support, including:
Scheduling training sessions and instructors
Configuring classrooms and preparing facilities
Maintaining and operating audio-visual and classroom equipment
Printing, distributing, and organizing training materials
Experience providing administrative support and assisting with special projects.
Experience supporting workforce development events and facilities coordination.
Experience scheduling training and events with multiple facility partners to ensure all logistical requirements are met.
Experience setting up classrooms, supporting A/V equipment connectivity, and ensuring training announcements and materials are delivered.
Ability to assist with training events, off-site tours, and workforce development activities (e.g., SEaL to Sea, Meet the Fleet).
Ability to effectively utilize:
Navy Enterprise Resource Planning (ERP)
Waypoints Learning Management System
Total Workforce Management Services (TWMS)
Human Resources Port (HR Port)
Online reservations and collaboration tools
Ability to establish ERP account setup, assign training requirements, and ensure users receive appropriate roles and permissions.
Strong attention to detail and problem-solving ability
Ability to manage multiple concurrent tasks and schedules
Skilled in classroom setup, A/V troubleshooting, and IT connectivity
Ability to communicate and coordinate with instructors, facility partners, and command personnel
Proactive approach to customer needs and service requests
Strong organizational and documentation skills
Preferred Skills and Qualifications
Bachelor's degree in business, Administration, Communications, or a related field preferred
Experience supporting military or federal workforce development programs
Strong written and verbal communication skills
Experience with Microsoft Office Suite and online collaboration platforms
Ability to coordinate logistics for training, events, meetings, and tours
Excellent time-management skills and customer service orientation
Responsibilities Training Coordination & Event Support
Schedule training sessions, reserve classrooms, coordinate instructors, and ensure training spaces meet all requirements.
Set up classrooms, laptops, projectors, and A/V systems to ensure connectivity for both in-person and virtual events.
Prepare training announcements, print and distribute materials, and support both online and in-person training environments.
Facilities & Workforce Development Support
Coordinate with facility partners to secure training and event space.
Support large-scale and special workforce development events, including tours and Command-wide programs (e.g., SEaL to Sea, Meet the Fleet).
Assist with logistics planning, event setup, and coordination.
Systems & Administrative Support
Use ERP, Waypoints, TWMS, HR Port, and online reservation systems to support training and workforce development needs.
Facilitate ERP account setup and ensure users meet training and role requirements.
Provide administrative assistance, documentation support, and customer service to training participants and stakeholders.
