SUMMARY The Procurement Specialist provides direct support to Boiler Service Technicians, Resource Coordinators, Icon Boiler Service Sales Department, Sales Application Specialist and other personnel within Icon Boiler, Icon Mechanical and Brady as necessary.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Responds to all telephone and email inquiries promptly

Provides excellent customer service to boiler service technicians, customers, and all Icon and Brady associates

Receives material requests and processes orders for boiler technicians, inside sales and other internal/external customers

Maintains status of open orders - requests and manages ETAs, communicates tracking and delivery information as necessary, follows up on backordered items, confirms with customer/technicians that parts ordered were received and closes order when completed

Manages warranty related issues associated with parts and equipment (with direction from the Sales Application Specialist) for the Icon Boiler service and sales teams

Cross‑trains for all duties in procurement and serves as backup for the Sales Application Specialist.

Assists with the creation and implementation of short‑term and long‑term plans associated with parts sales whether internal or external, through customers and contractors

Manages and maintains boiler parts inventory and availability: i.e., warehouses and truck stock, as well as boiler parts specific to our vendor partnerships housed and managed by Brady Parts

Becomes product knowledge expert for boiler parts and researches parts with preferred suppliers

Stays abreast of all strategic partner products, parts, equipment and associated updates relevant to these components (new to market/obsolete/limited stock etc.)

Responsible for proper specification and sizing of pumps utilizing pump curves, pump sizing software and relevant data for hydronic/feed water applications in support of our customers, internal Sales Engineers and Sales Applications Specialist

Maintains contract database with relation to PM/Annual inspection parts and material, and preferred supplier database

Processes vendor invoices and posts Purchase Orders in a timely manner to ensure all parts and freight costs are added to the job.

Creates and maintains a database for all contract customers with the necessary PM/Annual Inspection parts needed for each piece of equipment under contract

Complies with all procurement policies and procedures

Creates purchase orders for truck stock and tools

Takes job‑related parts requests from technicians and expedites delivery and adds parts to tasks

Develops and delivers accurate Inside Sales quotes for Icon Boiler in a timely manner, ensuring prompt and clear communication with customers

Processes orders, stock transfers, and sets up parts orders according to IFS procedures manual

Maintains superior customer satisfaction by investigating concerns, implementing corrective action and communicating with customer and Icon (and/or Brady) associates as needed.

Responsible for reporting as required by the Service Operations Manager.

Promotes rewarding workplace by treating co‑workers with respect and consideration.

Flexibility to work overtime/weekends, as required.

Immediately address any customer’s concern and request the involvement of other Company personnel as required

SAFETY

Follow all company safety programs and report any non‑compliance to your Manager

Notify Manager or Director of Safety of any unsafe conditions

SUPERVISORY RESPONSIBILITIES None.

QUALIFICATIONS Education and/or Experience : Minimum High school diploma or general education degree (GED); plus 1 to 3 years related experience and/or training; or equivalent combination of education and experience. 2 year Associates Business Degree preferred.

Computer Skills : MS Office Suite, general familiarity with computer systems, and ability to learn software applications as required.

Certificates, Licenses, Registrations : None.

Language Skills : Ability to read and write. Required to effectively communicate with co‑workers and customers. Ability to understand and translate correspondence from dictation.

Mathematical Skills : Must possess basic math skills. Ability to perform basic math operations using units of American money, weight measurement, volume and distance.

Reasoning Ability : Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
