Job Purpose Perform routine clerical and administrative functions such as drafting correspondence, reviewing and preparing material certifications, organizing and maintaining paper and electronic files, and providing information to internal and external customers, inspectors, and the quality assurance department.

Key Job Elements Minimum Skills

Create, maintain, and enter information into databases and excel reports.

Utilize software and databases to research and prepare quality assurance reports to support the department.

Operate a variety of office equipment, telephones, scanners, fax, copiers, etc.

Use computers for various applications, such as database management or word processing.

Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as inspection and quality documentation, correspondence, or other material.

Provide information to supervisors, co‑workers, and customers by telephone, in written form, e‑mail, or in person.

Advanced Skills

Review and approve material certifications from suppliers prior to acceptance of material.

Work with Purchasing and suppliers on discrepancies.

Review production documentation for accuracy and completion.

Hold production accountable for completion of documentation.

Run reports out of InforLN to analyze material pulled to a given job compared to material called out for a given job.

Be able to problem‑solve, analyze, and make corrections when the information does not align.

Create material cert packages of all material used in a given job.

Be able to use PDF Editor.

Conduct internal process audits (AIMS).

Prepare documentation for upcoming inspections or regulatory compliance.

Utilize databases to research and prepare reports.

Maintain calibration database as needed.

Essential and Physical Activities Functions

Strength – Must be able to lift 40 lbs.

Motion – The position is primarily in an office setting, requiring a desk for the majority of the day, utilizing a variety of office equipment such as computers, scanners, and copiers.

Vision/Hearing Requirements – May spend long periods of time in front of a computer screen; must be able to read detailed billing statements and be detail‑oriented.

Work Environment – Will spend the majority of time in an office environment, occasionally exposed to plant facilities requiring exposure to hot and cold environments along with noise exposure.

Emotional Demands – Must have good communications skills, be capable of multitasking and working independently, and adapt to frequent changes in tasks and workload.

Safety – The position will require adherence to all safety practices and use of PPE while in a manufacturing facility, including eye, face, hand, and hearing protection, steel‑toed boots, no jewelry, and hard hats. This is not a safety‑sensitive position.

Education / Training

High school diploma or equivalent required.

Associate's degree or higher level of education preferred.

Qualifications and Experience

Detail oriented and thorough in completing work tasks.

Honest and ethical.

Pleasant with others on the job and displaying a good‑natured, cooperative attitude.

Reliable, responsible, and dependable, and fulfilling obligations.

Ability to communicate effectively with all levels of plant personnel.

Preferred Skills

Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.

Knowledge of principles and processes for providing customer and personal services, including customer needs assessment, meeting quality standards for services, and evaluating customer satisfaction. High level of written communication skills needed.

Familiarity and experience with AIMS regulatory compliance.

Experience with data management using an ERP system such as InforLN.

Knowledge of business and management principles involved in strategic planning, resource allocation, quality assurance principles and procedures, leadership technique, production methods, and coordination of people and resources.
