About The Role Comfort Temp Heating & Air is hiring an in-office Commercial Procurement Specialist to keep commercial jobs moving by sourcing and ordering HVAC equipment, parts, and materials. You’ll receive the exact specs and product requirements from sales and technicians, then handle vendor sourcing, pricing, ordering, tracking, and documentation.
This is a phone-and-computer-heavy role. If you like fast pace, details, and being the person who makes sure the right equipment shows up at the right time, this is for you.
What You’ll Do
Take purchasing requests from commercial sales and technicians, confirm what’s needed (model numbers, quantities, accessories, needed-by date)
Source equipment/parts/materials through vendors and distributors; request quotes when needed
Place orders and ensure pricing, part numbers, quantities, ship-to details, and lead times are accurate before submitting
Track orders daily (confirmations, backorders, substitutions, revised ship dates) and proactively follow up with vendors
Coordinate deliveries to job sites, warehouses, or will-call pickup based on the job schedule
Document purchasing activity clearly in ServiceTitan (and/or your internal PO process) so operations, dispatch, and the field team always know status
Resolve order issues (wrong parts, shortages, damages, returns, warranty replacements) and elevate urgent/recurring vendor problems to leadership
Keep clean records (quotes, confirmations, packing slips, invoices) to support job costing and Accounts Payable
What We’re Looking For (required)
Working knowledge of HVAC equipment/parts (commercial experience strongly preferred)
Experience in procurement, purchasing, or materials coordination in HVAC/MEP/construction/service
Strong ServiceTitan skills (or the ability to become power-user quickly if your ST usage has been limited)
Comfortable on the phone and computer most of the day (multi-tasking with urgency and accuracy)
Excellent attention to detail (part numbers, quantities, pricing, lead times)
Strong communication skills: clear updates, clean notes, and professional vendor follow-up
NICE TO HAVE
Commercial HVAC service or install background
Distributor/vendor relationships in the HVAC supply chain
Excel competence (tracking backorders, price comparisons, simple reporting)
