Summary Of Functions The Fleet Coordinator is responsible for managing and overseeing the daily operations of a company's vehicle fleet. This role involves scheduling maintenance, ensuring compliance with regulations, tracking fleet performance, and coordinating logistics to optimize fleet efficiency. The Fleet Coordinator works closely with drivers, vendors, and other departments to ensure safe, timely, and cost-effective transportation solutions.
Duties & Responsibilities
Purchases and maintains vehicles for deliveries.
Assists with decision on whether to lease or buy vehicles.
Address concerns and resolve problems quickly to ensure smooth operations utilizing ticketing system.
Arranges for smog testing.
Maintains detailed records for each vehicle’s servicing and inspections.
Complies with US Department of Transport laws and regulations.
Ensures proactive servicing and maintenance to minimize downtime of vehicles.
Monitors driver behavior and/or driver reports, ensuring a high level of safety and customer service.
Utilizes GPS, telematics and cameras to monitor drivers and ensure safety and compliance with transportation laws, including OneLegacy policies.
Inspects vehicles for evidence of abuse, damage, or mechanical malfunctions and takes corrective actions as required.
Maintains, creates and reviews vehicle logs to detect any problems or to ensure compliance with regulations.
Investigate complaints regarding safety violations.
Investigate incidents or violations, such as accidents and equipment failures.
Makes recommendations for corrective actions when infractions or problems are identified.
Prepares reports on investigations or inspections and actions taken.
Maintains fuel cards for vehicles, including driver pins.
Assist drivers with vehicle accidents documentation, claim reporting and vehicle repairs.
Perform routine audits on all vehicles, including fuel cards, mileage and maintenance.
Manage vehicle check-in and check-out processes, including remote offices.
Create and maintain a schedule to wash all vehicles as necessary.
Identifies trends, develops recommendations.
Ensure all fleet-related documentation is up to date and properly filed.
On-call for after-hours support.
Skills And Abilities
Communicate effectively with customers including active listening, empathy, patience, tact and assessment.
Accurately evaluate repair needs and estimate the cost and time of repairs.
Inspect materials, supplies and parts for compliance with requests and specifications.
Maintain stock control systems and physical inventory.
Understand and follow oral and written instructions.
Operate and use modern office equipment including computers and various software applications.
Establish and maintain accurate records, logs, and files.
Prepare clear and concise reports.
Interpret, explain and enforce department policies and procedures.
Interpret and apply Federal, State and local policies, laws and regulations.
Establish and maintain effective working relationships with those contacted in the course of work.
Strong computer skills, including proficiency in MS Word.
Excellent organizational skills and communication skills.
Job Qualifications And Requirements Education:
Associate’s or Bachelor’s degree preferred.
Experience:
Experience in fleet coordination, logistics, or a related field preferred.
Certification/License:
OneLegacy requires employees to maintain a current California driver’s license and current vehicle insurance.
Equipment:
Reliable automotive transportation is required.
Salary Range $52,811.20-$71,198.40 Annually
