Purchasing and Receiving Agent

Executive Chef and Director of Food & Beverage FLSA Status : Hourly/Non-exempt Summary:

Responsible for the procurement and storage of all food & beverage products and to assist in the bidding and purchasing of equipment, supplies, materials and other items needed for the operation of the club. Job Tasks/Duties Works with the Clubhouse Leadership to determine specifications of products to be used at the club. Select and negotiate terms with suppliers to ensure that the specified products are procured at the best possible price available. Processes purchase orders from authorized personnel obtaining, in most situations, three (3) bids for the product required. Help develop purchasing, receiving and storage procedures. Maintain current files of suppliers, stock lists, catalogs, price sheets, etc. Gather information on market conditions and inform others if there will be shortages or price increases. Maintains weekly and monthly corrections of invoices. Monitors and develops weekly and monthly inventory specifications to uphold Food and Beverage purchase budget Maintain knowledge of current laws and regulations affecting purchasing tasks. Adhere to all Lake Nona Estates Management policies and procedures. Monitor deliveries to assure that deliveries are correct, complete and correctly priced. Interacts with sales agents in a manner that maintains the highest level of professionalism and generates good will between all involved. Maintain the inventory of purchased product at a level that ensures that the needed products are available and that unneeded product is at a minimal level thereby increasing cash‑flow and minimizing spoilage. Act as a liaison between suppliers and all department heads. Compare supplies, products and new vendors on the basis of quality, service dependability and cost. Work with suppliers to resolve operational problems and to expedite deliveries, stocking, and other needs as identified. Help identify new products, materials and services which are potentially useful to the club. Periodically visit suppliers to review storage, maintenance and delivery practices. Assist in budgeting decisions within the scope of responsibilities. Work closely with the Controller to ensure that appropriate reports are designed and maintained, providing the club with the most accurate and current information available. Schedules and assists with the monthly inventory taken as determined by the Controller. Make self-available to provide necessary support for special events and activities taking place at the club. Responsible for cleanliness and orderliness of store rooms, delivery areas and the general office and access points in close proximity thereto. All other duties as assigned. Requirements Minimum of 5 years food and beverage purchasing experience preferred. College degree or equivalent work experience. Dedicated to the position, the club and the industry. Must be self‑motivated and be able to work effectively without daily or immediate supervision. Must enjoy working and be able to maintain excellent relations with people in all departments, vendors/suppliers and the membership while recognizing the need to set a professional standard (verbally, in documentation, in appearance and in actions), at all times. Able to set goals for self, reach those goals in an adequate amount of time, and help others set and reach their goals. Must be able to multi‑task and able to follow‑up every day on everything necessary to successfully complete the job. Is excited about the process of purchasing and dedicated to the entire experience of the member, continuing to look for better, more efficient and effective ways of providing products/services that meet and/or exceed expectations. Physical Demands and Work Environment This position includes (long periods of) balancing, stooping, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, feeling and repetitive motions. Must be able to lift up to 50 pounds. Must be able to work in hot conditions for long periods of time. Must be physically able to do assigned work as outlined above. Must be able to follow written and verbal instructions. Must have a valid Florida Driver’s License Must be proficient on the computer Must be able to stand for long periods of time Must be able to read, write and communicate effectively in English.
