Hybrid Los Angeles, CA (mid?Wilshire neighborhood). The role will require on?site presence 2?3 days per week. Role Overview
The Patient Operations Specialist (Apheresis) serves as the primary point of contact for donors participating in apheresis collections and partner site contacts. Responsibilities include screening and qualifying donors, coordinating schedules, managing documentation, and providing a seamless experience for donors. The role reports to the Apheresis Operations manager within a service?centric and analytics?driven team. Primary Responsibilities Participant Engagement & Enrollment Serve as the primary point of contact for potential participants in apheresis research studies. Coordinate and oversee participant enrollment. Maintain an in?depth understanding of study protocols, safety guidelines, and SOPs. Conduct independent research on assigned studies and medical conditions. Utilize internal databases to identify potential participants. Conduct thorough eligibility screenings and collect critical medical information. Oversee the administration and collection of required study documents. Review and analyze medical records, input lab results, and compile research data. Partner with the Medical Director to relay key safety considerations. Collaborate with Project Management and Recruitment teams to track enrollment. Oversee participant allocation across multiple apheresis studies.
Scheduling & Logistics Coordination
Ensure accurate completion of required documentation for appointments. Manage shipments of apheresis visit products between partner sites. Initiate outbound phone calls to schedule or reschedule appointments. Schedule donors considering staff availability and logistics constraints. Maintain scheduling information in various platforms. Create Salesforce reports to track scheduling efficiency. Document post?visit results in appropriate platforms. Ensure Certificates of Analysis are completed timely. Review schedules and communicate with site staff.
On?Site
Check in donors and ensure seating in the waiting area. Conduct medical history questionnaires and qualify donors. Take vitals of qualified donors. Maintain inventory of supplies and place orders. Ensure critical materials are stocked before appointments. Take on additional responsibilities as assigned.
Position Requirements
12 years of relevant experience. Proficient with Microsoft Office and Google Workspace. Effective multitasker in a fast?paced environment. Highly organized, detail?oriented, meticulous. Exceptional customer service and communication skills. Personable, engaging, critical thinker. Ability to work a rotating schedule (Sunday?Thursday or Monday?Friday). Ability to work on?site 2?3 days per week.
Preferred Qualifications
Bachelors Degree in a life science or related field. Certified Phlebotomy Technician certificate. Bilingual (Spanish). Experience with a blood donation center or apheresis collections. Experience in a HIPAA?regulated environment. Familiarity with Five9, DocuSign, Adobe Sign, Salesforce, Slack.
Hourly Pay
