A growing financial services firm is seeking an Operations Associate to support day-to-day operational workflows across trading, client account servicing, reporting, and process optimization. Key Responsibilities
Prepare and execute daily trade files under supervision of the portfolio management team.
Assist with account-level portfolio rebalancing, drift monitoring, and model updates.
Ensure trades are processed accurately and reconcile trade confirmations and settlements.
Coordinate with custodians and trading partners on trade issues or exceptions.
Reporting & Data Management
Produce daily, weekly, and monthly operational and investment reports.
Maintain data integrity across CRM, portfolio accounting, and reporting systems.
Support performance reporting, billing processes, and audit requests.
Monitor key operational metrics and escalate discrepancies.
Process new account openings, transfers, and maintenance requests with custodians.
Handle money movement requests (ACATs, journals, distributions, contributions) in accordance with compliance procedures.
Respond to advisor requests and assist in resolving custodian or client account issues.
Maintain accurate documentation and ensure compliance with firm and regulatory standards.
Process Improvement & Operational Excellence
Identify workflow inefficiencies and recommend automation or process upgrades.
Assist in implementing new technology tools and system enhancements.
Document standard operating procedures and ensure consistency across the team.
Contribute to special projects to improve operational scalability and accuracy.
Qualifications
Bachelor’s degree in Finance, Accounting, Economics, Business, or related field.
2–4 years of operations experience within wealth management, RIA, broker-dealer, or asset management (preferred).
Familiarity with custodians (e.g., Schwab, Fidelity, Pershing) and portfolio management systems.
Strong Excel/Google Sheets skills; comfort working with data and reporting tools.
High attention to detail, organization, and ability to multitask.
Strong communication skills and a proactive, problem-solving mindset.
