Position Purpose In the performance of their respective tasks and duties, all employees are expected to conform to the following:

Responsibilities

Must be able to train new hires when available on the following skill sets:

Chart Prep

Batching/Balancing/Deposits

Responsible for copayment, patient balances, coinsurance, and deductible collected on every patient.

Ensuring the front desk team greets all patients and delivers excellent patient care.

Act as liaison for patient complaints and work alongside the manager.

Ensure all appointment reminder calls have been confirmed.

Ensure team members prepare schedules 1 week in advance.

Act as the superuser and assist with coverage and training as needed.

Assist with inventory counts and ordering supplies.

Assist Practice Manager with any projects or initiatives.

Help develop training tools for front office staff.

Track metrics for the front office that include no‑shows, recalls, and cancellations and re‑activate patients.

Schedule or reschedule patients due to provider schedule changes for the assigned location.

Assist Practice Manager with alarm settings before the start and/or end of day shifts.

Ensure teams print next‑day schedules and identify patients needing reschedule due to provider time off or schedule changes.

Clear voicemail messages and assign team members goals for completing calls.

Set schedules for front staff and communicate with the manager on scheduling staff needs.

Create a culture of patient excellence and delivering customer service.

Ensure communication between the practice manager, provider, and back‑office staff.

Help identify areas of development and coach staff with the Practice Manager.

Education High School Diploma or GED is required.

Experience / Qualifications

Minimum of 2‑3 years experience working in a medical office.

Prior dermatology experience is preferred.

Some supervisory experience is preferred.

Performance Requirements

Quality written and verbal communication skills.

Quality mathematics skills.

Professional appearance and mannerisms.

Knowledgeable of medical dermatology terms/CPT, ICD‑10.

Able to work efficiently in a fast‑paced environment.

Able to demonstrate compassion and caring when dealing with others.

Able to prioritize tasks, understand providers' instructions, and know when to seek information or advice.

Experience using EMR systems is a plus.

Equipment Operated Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

Physical Requirements Must possess manual dexterity to operate office machines including computer and calculator; stooping and bending to handle files and supplies; and mobility to complete errands or deliveries. Includes handling of sharps and chemicals.
