The Admissions Manager provides management and oversight for the animal admissions department, community cat program, and lost and found program. The role sets clear goals, ensures efficient and compassionate workflows, and fosters a culture of empathy and collaboration. The admissions manager also ensures the team actively supports the community—guiding pet owners through difficult decisions, connecting them with resources to keep pets in their homes, and strengthening partnerships that promote animal welfare. Through strong, people-focused leadership, this role upholds HSPPR’s mission and drives excellence in both animal care and community service.
Key Duties and Responsibilities Admissions
Manages staff and ensures that the HSPPR Admissions Department operates in a coordinated, efficient, and effective manner.
Manages all aspects of admissions including lost and found services, owner surrender, owner reclaim, owner requested euthanasia, ALE impounds, triage care of sick or injured animals, and multifaceted customer service.
Fosters an environment of compassionate support to pets and people; provides counseling and resources to guests, understanding of animal-related ordinances, responsible pet ownership, access‑to‑care options, and other intervention services that help keep pets in homes.
Ensures HSPPR’s cash-handling procedures are followed, including accurate daily close‑out and reconciliation; manages accounts receivable for the department.
Builds strong community relationships by coaching staff to consistently deliver respectful, empathetic support and clear guidance to all guests seeking help for their animals.
Community Cats
Manages the Community Cat operations and staff, ensuring the program supports both animal welfare and community needs.
Engages with community members to provide education, resources, and humane solutions related to free‑roaming cats.
Oversees the program in the absence of the Community Cat Coordinator.
Lost‑and‑Found
Manages Lost and Found Program operations and staff, ensuring the program supports both animal welfare and community needs.
Engages with community members to provide education, resources, and guidance to help reunite lost pets with their families.
Oversees the program in the absence of the Lost and Found Coordinator.
Relationships
Works to anticipate and resolve conflict and promotes open communication among volunteers, staff, and management. Solicits employee input regarding their work and workplace.
Collaborates cohesively with all departments to ensure operational excellence. Provides recommendations of procedural changes and assists in the implementation of necessary changes. Problem solves with staff from other departments regarding kennel and shelter procedures and animal needs.
Supports staff and volunteers; provides quality services to clients, volunteers, and employees recognizing their individual contributions to the success of our organization.
Communication
Documents staff and volunteer complaints and handles concerns with professionalism and sound judgment. Involves Director of Shelter Operations - COS as appropriate.
Maintains visibility within the department and communicates significant developments with Director of Shelter Operations‑COS.
Communicates pertinent information to staff, managers, and directors and ensures supervisors are communicating effectively with line staff.
Collaborates and problem solves with other department leaders.
Informs the Director of Shelter Operations - COS of developments that may affect HSPPR or the department including department progress, media exposure, public image, client concerns, and personnel issues.
Fiscal Responsibility
Oversees inventory and ordering for the department.
Submits department budget requests and operates within the established budget.
Manages department payroll and staffing budgets to ensure efficiency.
Maintains budget oversight, including approving invoices and preparing financial or statistical reports as needed.
Performance Management and Supervision
Hires, supervises, and evaluates direct reports. Coaches staff by providing ongoing feedback and timely performance evaluations. Sets performance standards; directs and motivates employees. Recognizes strong performance and counsels staff to correct issues. Adheres to principles of progressive discipline and consults with Director of Shelter Operations - COS regarding disciplinary actions and terminations.
Supervises, motivates, and trains assigned staff in volunteer interactions and supervision, ensuring effective teamwork, strong performance, and innovation.
Conducts staff meetings and prepares staff training sessions.
Utilizes performance-based management when counseling and evaluating staff, sets measurable goals for employee growth, submits evaluations on time, and encourages continuing education aligned with organizational needs.
Organizational Development
Ensures that policies and procedures are followed consistently.
Collaborates with staff to develop new ideas and improvements.
Develops and follows timelines for annual plans and projects and holds accountable for staff decisions and actions.
Supports management and discusses differences privately.
Other
Demonstrates commitment to the mission, values, goals, and success of HSPPR.
Appropriately documents observed animal behaviors using objective language in accordance with relevant procedures and policies.
Performs all other duties as assigned.
Supervisory Duties
Directly supervises the Admissions Team, Community Cat Coordinator, and the Lost and Found team.
Physical Demands
Regularly sits at computer workstation.
Must be able to lift, push, and pull a minimum of forty pounds with reasonable accommodation.
Must be able to stand for extended periods of time.
Frequently stands, bends, stoops, and crouches.
Is consistently exposed to animals and allergens under conditions where alternatives may be limited.
Schedule Requirements
Five 8‑hour shifts; Tuesday through Saturday on a weekly basis.
Must be available to meet organizational demands, including weekends, evenings and holidays as needed.
Fully on‑site.
Education/Experience Necessary
2‑3 years of supervisory or managerial experience, or an equivalent combination of education, training, and experience.
Professional experience in animal welfare with a working knowledge of animal health, behavior, care, and welfare principles.
Demonstrated experience working directly with the public in a high‑volume, emotionally charged, or service‑oriented environment.
Strong leadership skills, including the ability to coach, mentor, and develop staff in a fast‑paced setting.
Ability to de‑escalate difficult situations and provide empathetic, solutions‑focused customer service to a diverse community.
Ability to read, write, interpret, communicate, perform basic problem solving, and perform basic math as commonly expected from completion of a High School Diploma or equivalent education.
Euthanasia By Injections (EBI) certification required at time of hire or ability to obtain within 1 year.
Proficiency in basic computer skills and ability to learn animal sheltering software.
Strong animal handling skills and comfort working around animals of varying species, sizes, and temperaments.
Ability to use sound judgment when addressing personnel, animal, or operational issues.
Ability to represent HSPPR professionally in community settings, meetings, and partnerships.
