Job Summary The Office Manager is responsible for ensuring that day‑to‑day operations of the department are performed effectively and accurately. The role requires strong communication, problem‑solving, and managerial skills as it oversees all activities, projects, and employees in the office.

Responsibilities
Perform or oversee administrative aspects of the office or department, including accounting support, data entry, billing, inventory, record‑keeping, and preparing correspondence.
Provide support to multiple offices, supervisors, and clerical staff.
Process purchase orders and invoices weekly; investigate claims as needed.
Update and track documentation required to complete and submit jobs for billing.
Bid submittal and project set‑up for awarded bids; work closely with the Contract Manager for project set‑up and initiate Oracle WOM unit rate schedules for primary and subcontractors.
Responsible for Bid Bonds and Contractor Bonds relative to awarded projects.
Ensure project unit revenue is recognized weekly for all projects and all revenue is input accurately and accounted for.
Monitor project status updates, submitting partial and/or completed jobs to customers to stay up‑to‑date for invoice submittal.
Review the weekly Accounts Receivables report for customer invoice payment and collection.
Provide executive‑level administrative support by conducting research, handling information requests, reviewing/ tracking/analyzing budgets, and maintaining records and databases essential to project management.
Implement new policies and procedures to ensure operations run smoothly.
Maintain close working relationships with high‑level executives; process and submit executive expense reports, coordinate space, perform office organization tasks, and maintain paper and electronic files.
Update new hire information, driver files, personnel changes, drug testing, and employee issues.
Perform other duties as required and/or assigned.
Qualifications
High School Diploma, or equivalent.
5 years of office management and executive administrative support experience.
Previous office manager role in a construction‑type environment.
Strong executive presence and professionalism.
Strong computer skills with the ability to create spreadsheets for revenue tracking and reporting, and develop presentations.
Strong organizational and multitasking skills.
Proficiency in Microsoft Office applications.
Ability to operate office equipment.
Good written and verbal communication skills.
Precise hand‑eye coordination; clarity of vision at 20 inches or less.
Physical Demands and Work Environment This job operates in a field environment. The role routinely requires extended periods of bending, squatting, climbing, kneeling, pushing, pulling, lifting (up to 50 pounds), standing, and twisting. Work may be performed in inclement weather conditions such as extreme heat, extreme cold, rain, ice, snow, and wind. The position is physically active, with lifting required. Precise hand‑eye coordination and the ability to identify and distinguish colors are essential.
