Allied OMS is a doctor-owned, doctor-led, and doctor-governed management services organization (MSO) in the oral and maxillofacial surgery space that combines the best of private practice with the best of private equity.
Leveraging decades of experience building platform businesses in the healthcare industry and collectively owned by member surgeons, private equity, and management consulting veterans, Allied OMS offers essential tools for maximizing practice value. Grounded in clinical excellence, doctors in the Allied OMS network maintain essential roles in management, governance, and clinical practice and participate directly in the platform's growth. Seventy-five percent of the Allied OMS board of directors are doctor members, and Allied OMS doctors lead 100% of the platform's management committees. Founded in 2020 in partnership with DuneGlass Capital, a healthcare services-focused independent sponsor, the Allied OMS network now includes 83 doctors serving patients from 49 locations across Arizona, California, Colorado, Illinois, Indiana, Louisiana, Maryland, Michigan, New York, Oregon, Tennessee, Texas, and Virginia.

Description Position Summary: The Front Office Assistant plays a crucial role in TorriMed Oral Surgery & Dental Implants' daily operations by supporting staff coordination and patient interactions to ensure smooth workflow and effective communication. This position involves assisting in staff development, managing patient relations, and contributing to community outreach and marketing efforts. The Front Office Assistant collaborates with the practice's leadership to implement and maintain efficient systems that align with the practice's goals. Additional responsibilities include managing front office tasks, assisting with strategic planning, and fostering a positive patient experience to enhance overall satisfaction and goodwill for the practice.
Front Office / Patient Coordination
Greet and check in patients in a professional and welcoming manner, ensuring efficient check-in
Schedule, confirm, and manage patient appointments
Answer phone calls and respond to emails courteously and promptly
Examine documents for missing information and update patient chart as necessary
Accurately enter and update insurance information in patient records
Educate patients about their insurance benefits and financial responsibilities.
Assist with preparing and printing claims
Process pre-authorizations and update treatment plans
Handle billing, co-pays, and other payments accurately
Maintain and update patient records in compliance with HIPAA regulations
Ensure the reception area is clean, well-organized, and presentable on a daily basis
Monthly maintenance of coffee machine
Check emails, faxes, and voicemails daily
Assist with patient inquiries and provide information about dental services
Assist in daily office coordination and communication between dental staff and patients
Insurance & Billing Coordination
Prepare and submit accurate insurance claims, ensuring compliance with all applicable regulations
Verify patient insurance benefits and coverage for scheduled procedures; obtain pre-authorizations when necessary
Communicate clearly with patients about their insurance coverage, financial responsibilities, and available payment options
Maintain accurate records of billing activity, claims, and patient communications
Ensure all processes comply with HIPAA regulations and internal confidentiality policies
Qualifications
High school diploma or equivalent required
Previous dental office experience preferred but not required
Strong knowledge of dental terminology and insurance billing procedures
Excellent organizational, communication, and problem-solving skills
Detail-oriented with the ability to manage multiple tasks efficiently
Comfortable using dental practice management software (experience is a plus)
Clear understanding of confidentiality and patient privacy regulations
Working Conditions/Physical Requirements
Primarily in an office environment with a focus on administrative tasks
Sitting [70-80]% of the time
Standing [20-30]% of the time
Frequent use of hands for typing, filing, and handling paperwork
Close vision is necessary for reading documents, viewing billing statements, and using computer screens for extended periods
