Base pay range $75,000.00/yr - $85,000.00/yr
Executive Administrative Partner Department: Administration I. PRIMARY PURPOSE Serve as the primary administrative partner to the President and provide high-level administrative support to the Executive Leadership Team (ELT). Operate with minimal supervision while managing a wide range of confidential, executive-level responsibilities including complex calendar management, coordination of domestic and international travel, preparation of PowerPoint presentations and executive materials, meeting and event coordination, and ensuring seamless day-to-day operations of the executive office.
Handle sensitive and confidential information with the utmost discretion while also providing occasional administrative support to other members of the ELT as needed (e.g., meeting logistics, executive guest coordination, and special projects).
II. ORGANIZATIONAL RELATIONSHIPS A. Reports to: President
III. KEY RESPONSIBILITIES AND ESSENTIAL FUNCTIONS
Provide proactive, executive-level administrative support that anticipates the needs of the President and ELT.
Manage highly complex and frequently changing calendars, including coordination of meetings, executive sessions, internal leadership events, and special projects.
Create, edit, and format professional PowerPoint presentations and executive reports for internal and external audiences.
Coordinate and book all domestic and international travel for the President and ELT, and others, including itineraries, logistics, reservations, and supporting documentation.
Manage executive lunch meetings, onsite leadership meetings, and other scheduled gatherings, ensuring logistics, catering, and materials are seamlessly arranged.
Professionally screen calls, greet guests, and act as a polished representative of the executive office.
Maintain organized and secure filing systems, correspondence, and confidential information.
Support executive projects by tracking action items, ensuring follow-through, and preparing related materials.
Coordinate onsite and offsite corporate events as requested.
Maintain awareness of company initiatives, priorities, and timelines to better support leaders in planning and execution.
Complete training as required by standard operating procedures and work instructions.
Regular attendance is an essential job function.
Follow all Company policies and procedures related to confidential proprietary information (CPI), including the Confidentiality and Non‑Solicitation Agreement.
Other responsibilities as assigned.

V. JOB SPECIFICATIONS
Bachelor’s degree preferred; minimum of 5 years of experience supporting senior executives.
Excellent verbal and written communication skills, with strong professionalism and executive presence.
Advanced proficiency in Microsoft Office Suite, including Word, Excel, and expert-level PowerPoint.
Demonstrated ability to handle highly confidential information with absolute discretion.
Strong organizational ability with capacity to work independently, prioritize effectively, and manage multiple deadlines.
Able to remain calm under pressure, adapt quickly to changing priorities, and proactively resolve issues.
Exceptional judgment, attention to detail, and customer service skills.
VI. WORKING CONDITIONS OR PHYSICAL REQUIREMENTS
This is an in‑office role, with some availability for remote work per Supervisor’s discretion and office schedule.
Regularly required to sit for extended periods; use hands and fingers; talk, hear, and see.
May occasionally lift or move up to 25 pounds; may occasionally stand, walk, climb, balance, stoop, kneel, crouch, or reach.
Fast‑paced, time‑sensitive environment requiring accuracy and multitasking.
Work may require movement throughout the corporate office and occasional time in louder production areas.
Occasional overtime required.
Business travel by plane or car; minimal.
Valid driver’s license required.
