Office Administrator - Commercial Roofing
WeatherShield Roofing Group is a locally owned commercial roofing company that has proudly served our community for over 30 years. Our office team plays a vital role in supporting field crews, managing client relationships, and keeping operations running smoothly.
Responsibilities:
Oversee daily office operations, ensuring efficiency and effectiveness in all administrative processes
Manage scheduling and calendar coordination for team members, including meeting arrangements and event planning
Handle vendor management, including negotiating contracts and maintaining relationships with suppliers
Assist with human resources functions such as onboarding new employees, payroll processing, and training & development initiatives
Maintain accurate bookkeeping records and assist with budgeting tasks to support financial planning
Supervise clerical staff, providing guidance and support to ensure high-quality work output
Implement office management best practices, including filing systems, inventory management, and front desk operations
Utilize QuickBooks for financial tracking and reporting as needed
Maintain effective communication across departments and with external partners via multi-line phone systems
Manage electronic and physical filing systems (clients, HR, receipts, accounting)
Answer phones, collect and document client information (name, location, service details, etc.)
Maintain and update service pricing sheets (products, materials, repair types)
Monitor Florida law, OSHA updates, and update company handbook accordingly
Track, enter, and reconcile invoices, payments, and project data
Process payroll including overtime, holiday pay, and time cards
Monitor and reconcile company credit card purchases
Manage mail, stamps, check deposits, and basic office errands
Social media assistance (posting jobs on Indeed, Facebook, LinkedIn)
Coordinate occasional team events (Friday breakfast, holiday cards, donation drives)
Complete additional admin tasks as assigned by President
Proven experience with Dataforma is required.
Requirements:
Minimum 3 years administrative experience in the roofing or construction industry (non-negotiable)
Must have experience using Dataforma.
Strong data/form entry and document management skills
Proven experience in an office administration or management role
Strong organizational skills with the ability to prioritize tasks effectively
Excellent communication skills, both verbal and written
Proficiency in QuickBooks or similar accounting software is preferred
Familiarity with human resources processes, including payroll and employee training programs
Strong attention to detail with experience in clerical tasks such as filing and data entry
