Base Pay Range $53,000 – $60,000 per year
Girl Scouts of Western Ohio is seeking an Administrator, Executive Office to join our team. This role manages the CEO’s office and provides executive‑level support, constituent service, and project management for the Chief Executive Officer, Executive Team, and Board of Directors. The Administrator serves as the CEO’s trusted counsel, demonstrating strong emotional intelligence, self‑motivation, influence‑based leadership, and excellent communication and analytical skills.
Essential Functions – CEO’s Office
Oversee efficient management of all CEO office operations, administration, projects, initiatives, and communications (including presentations, reports, letters, email, publications, social media, greetings, voicemail and phone).
Serve as primary point of contact for internal and external constituencies on all matters related to the office or the Board of Directors.
Manage the CEO’s office and ensure administrative support is timely, accurate, and of the highest standard, meeting all organizational guidelines and processes.
Prioritize and manage all purchasing and contract approvals requiring CEO oversight and governance budgets.
Prepare agendas and manage all logistics for executive and senior leadership team meetings, including in‑house presentations, reports and scheduling.
Maintain CEO’s calendar and correspondence, composing written communications and responding to confidential and sensitive business needs.
Provide travel, timesheet approvals, expense reporting, hosting guests, IT support, onboarding leadership staff, and day‑to‑day executive support functions.
Offer council‑wide support to GSWO including staff onboarding/offboarding, office administration, notary service, maintenance requests, IT support, office security, and emergency response.
Essential Functions – Board Governance
Oversee all board and governance planning and administration for the Board of Directors, Board Development Committee, task groups/committees, and National Council delegation.
Ensure board members are regularly informed on relevant GSUSA and council matters, creating and compiling all necessary materials, reports, presentations, and correspondence.
Coordinate board schedule, roster, mission engagement calendar, conflict of interest, volunteer agreements, compliance, scorecards, demographic surveys, and meeting preparation.
Ensure compliance with council bylaws, board policies, procedures, and manuals.
Facilitate board engagement with membership, manage annual elections, meetings, notice, credentialing, education sessions, agenda, and communications.
Act as the National Council Delegation Liaison, managing all aspects of delegation recruitment, education, travel logistics, and membership engagement.
Serve as primary council contact with GSUSA for charter requirements, board opportunities, Blue Book compliance, and GSUSA convening registration.
Qualifications
Associate’s degree or equivalent experience in senior administrative management.
At least five years of executive‑level administrative support experience.
Strong organizational skills, able to prioritize multiple tasks with excellent attention to detail.
Proven ability to handle confidential information with discretion and adapt to competing demands.
Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and familiar with project management software such as Asana.
Excellent verbal and written communication skills, able to compose reports, governance documentation, and executive correspondence.
Mathematical and data analytical skills for reviewing financial reports, budgets, and KPIs.

Supervisory Responsibilities This position has intermittent on‑site, seasonal and backfill supervisory responsibilities.
Position Type & Expected Hours of Work Full‑time, exempt position based in Blue Ash (Cincinnati), OH. Expected hours Monday‑Friday 8:30 am‑5:30 pm, with occasional evening and weekend work as required. Remote work may be offered depending on CEO schedule; in‑person work required most days. Travel to other GSWO locations and National Council sessions is expected.
Travel Primarily within the council’s 32‑county footprint in western Ohio and southeastern Indiana. Some out‑of‑area and overnight travel may be required.
Compensation & Benefits Competitive salary range of $53,000 – $60,000 per year, plus a generous benefits package including health, dental, vision, accident, life insurance, and more. Hybrid work option after a 90‑day training period: minimum 3 days on site, up to 2 days remote.
