Job Description – Service Contract Coordinator (MER0003R05)
Job Overview Coordinate projects and service supplier contracts comprehensively by ensuring compliance with obligations, updating project plans, contracts and SLAs, clarifying details with business partners, and support functions within the maintenance team. Develop a target‑oriented strategy to improve contract fulfillment by the supplier, diligently monitor predefined milestones. Evaluate and communicate supplier performance, enforce contractual penalties, and address performance issues. Collect and document lessons learned for contract updates, drive continuous improvement initiatives, and serve as the main point of contact for all contractual matters with the supplier or involved teams. Manage and coordinate maintenance team activities in terms of project/contract support and evaluation.
Responsibilities
Contract management by monitoring and ensuring compliance with contractual obligations; managing and updating contracts and Service Level Agreements (SLAs).
Clarify contract details with business partners, creators, and support functions (e.g., IPS, legal department) to ensure clarity and enforceability with the supplier.
Support the business in technical negotiations and enforce contract changes or extensions in collaboration with procurement.
Develop a target‑oriented strategy to continuously improve contract fulfillment by the supplier, with diligent monitoring of predefined milestones.
Collect and document lessons learned for contract updates and similar service agreements, incorporating stakeholder feedback.
Create a performance management system to evaluate and communicate supplier performance based on contract deliverables and quality KPIs; engage necessary representatives and escalating issues.
Consistently enforce contractual penalties, issuing warnings and escalating to IPS and Controlling when required.
Report and document supplier performance, track deviations and defined measures, and record all relevant activities, decisions, and outcomes.
Maintain and manage technical documentation and project plans.
Analyze reports submitted by the supplier, review documents for compliance, conduct plausibility checks, and communicate inconsistencies and deviations.
Organize, conduct, and follow up on regular inspections and audits to ensure compliance with contract terms.
Plan and coordinate overarching projects related to the supplier, ensuring projects are completed on time and within budget.
Assess risks and problems and implement solutions.
Ensure smooth communication between MBV and the supplier; organize and document regular meetings and coordination sessions.
Identify and resolve problems and conflicts related to the supplier, including escalating serious problems.
Serve as the point of contact for the supplier organization and stakeholders for all contractual matters.
Coordinate complex projects or contracts from initiation to completion, ensuring status reporting accuracy.
Develop and oversee project budget tracking systems, analyze expenditure trends, and provide strategic recommendations to optimize cost efficiency and meet targets.
Decide first‑level escalation and support for interface departments; oversee resolution of escalated issues, collaborating with department heads and stakeholders to address challenges and prevent future escalations.
Act as deputy manager in their absence, actively participate in scheduled meetings, and coordinate actions in terms of contract/project management to ensure seamless operations and alignment with organizational goals.
Perform other duties as assigned.
Qualifications
Supervisory responsibilities: coordination of contractors, budget tracking and oversight.
Bachelor’s degree in manufacturing engineering, industrial engineering, business administration, or a related field.
Minimum of 5 years of professional experience in an operational environment with direct shop floor interaction (2–4 years in an automotive environment).
Preferred: 2 years of experience working with service suppliers and managing their contractual agreements.
Preferred: 2 years+ maintenance experience.
Internal Mercedes‑Benz candidates must complete and pass the PV45 assessment.
Knowledge of vehicle production processes, required equipment, and maintenance requirements.
Extensive experience in contract management, including contract law and Service Level Agreements (SLAs).
Proficient in business operations, procurement processes, and skilled in technical negotiations and enforcing contract changes or extensions.
Strong understanding of performance evaluation techniques, quality KPIs (operational KPIs), and methods to communicate and manage supplier performance.
Advanced analytical, communication, negotiation, and problem‑solving skills.
Demonstrated business maturity and functional leadership abilities.
Ability to anticipate needs and deliver timely, relevant solutions and actions.
Proficient in the Microsoft Office platform (including Word, Excel, PowerPoint, ThinkCell, etc.).
Proven written and verbal communication skills at all levels within the organization.
