This role supports the Division of Academic & Student Affairs (DASA) Counseling Center by overseeing business, records, and financial operations, ensuring compliance with state, federal, and university regulations, and facilitating efficient workflows for clinical and administrative staff.

Responsibilities

Business & Records Administration

Oversight and strategic management of medical records operations, including secure record maintenance and release‑of‑information processes.

Coordinate all business operations for the unit—HR transaction support, personnel paperwork, office operations, inventory management, and workflow improvement.

Lead psychiatry billing operations—create, review, and reconcile billing for psychiatry visits using SHS software; ensure accurate coding, timely submission, and compliance with clinical billing guidelines.

Generate and manage direct‑bill processes for no‑show clients; audit and resolve discrepancies and communicate with internal and external stakeholders.

Manage all grant‑related financial transactions and approvals—application review, data tracking, processing expenditures, monitoring budget balances, forecasting spending, and reconciling invoices.

Serve as the unit’s primary accounting and fiscal support—prepare, review, and approve fiscal documents; manage vouchers, P‑cards, travel reimbursements, and Marketplace orders.

Monitor expenditures and ensure compliance with university, state, and auditing regulations.

Collaborate with campus business and purchasing offices to develop vendor and service agreements and reconcile contract payments.

Information Processing & Decision‑Making

Analyze complex financial transactions and billing trends to identify errors and ensure compliance.

Interpret and apply University, State, HIPAA, and grant regulations to develop or revise internal procedures.

Prepare detailed reports, summaries, and documentation supporting decision‑making across business and clinical areas.

Communication

Serve as a resource to staff, practitioners, vendors, and university partners, explaining business processes and financial policies.

Coordinate continuing education programming and compliance with professional accreditation requirements.

Prepare clear written communication, billing notices, contract documentation, and financial summaries.

Organize and coordinate speakers, presenters, and logistics for clinical continuing education programs.

Maintain Independent Contractor contracts and liaise with the university’s IC review and approval processes.

Develop and implement improved business processes and workflows for operational efficiency.

Other duties as assigned by supervisor or executive director of the Counseling Center.

Qualifications

Bachelor’s degree in business administration or a related field, or an equivalent combination of training and experience. All degrees must be from appropriately accredited institutions.

Strong interpersonal, oral, and written communication skills with the ability to interact effectively with stakeholders.

Demonstrated analytical, organizational, and problem‑solving skills, including interpreting and applying policies and procedures.

Proficient in maintaining accuracy and attention to detail while managing multiple tasks and confidential information.

Explicit commitment to best practices in all business operations.

Thorough financial and accounting knowledge—able to manage budgets, process, monitor, audit financial transactions, and resolve discrepancies.
